Astellas Pharma Canada (APCA) is looking to fill vacant position – Evidence Disclosure Coordinator – Proficient.

Description

The Evidence Disclosure Coordinator Proficient plays a key operational role in supporting the development, review, and delivery of high‑quality scientific publications (manuscripts and congress abstracts and presentations) across the product portfolio. They will do this by supporting the Evidence Disclosure team in creating and accurately maintaining records in the publication management system, in adherence with Astellas’ standard operating procedures.

This individual ensures smooth workflow management, compliance with industry standards, and coordination of timelines, documentation, and communication among cross‑functional internal and external stakeholders (e.g., authors, Evidence Disclosure Leads, Scientific Content Creators).

The role is essential to maintaining operational excellence and ensuring the accuracy and compliance of Astellas’ scientific publication records, supporting transparency and trust in our disclosures.

The Evidence Disclosure Coordinator Proficient will be part of the Evidence Disclosure Chapter and support various Evidence Disclosure Leads which plan and execute on the integrated evidence dissemination plan in alignment with the Brand Strategy following agile ways of working.

Essential Job Duties

Publication Management System Recordkeeping and Compliance

  • Adhere to Astellas’ publication SOP process and ensure compliance steps are correctly completed, and all publication records are accurate

  • Ensure metadata and fields in publication record are properly entered and maintained

  • Support routing publication drafts for review and approval, monitor record status, and follow up with authors and reviewers to advance records through the publication lifecycle

  • Upload submission package and final publication to the publication management system

  • Update records with final status (e.g., submitted, accepted, published), documents, and citation information

  • Support review and completion of all required documentation in publication management system

  • Conduct quality checks to ensure data integrity for downstream use in dashboards, reports, etc.

Publication Development, Review & Approval Project Management

  • Liaise with Evidence Disclosure Lead to schedule author calls

  • Liaise with local/regional teams to ensure non-English language publications are documented appropriately

  • Liaise with journal/congress editorial team to gather required / supporting information for submission

  • Complete dummy submission/ pre-submission enquiry with journal/congress as needed

  • Gathers any required journal/congress specific documentation from authors throughout process

  • Uploads final publication to submission site addressing all required fields

  • Informs all authors and Astellas stakeholders of key publication milestones

Publication Post-Submission/Other Project Management

  • Collaborate with Evidence Disclosure Leads to provide status updates and reports that support publication tracking and planning

  • Support Evidence Disclosure Lead with contract/invoice submission and processing and budget forecasting

  • Weekly monitoring of submitted manuscript status with journals

  • Align poster development timelines with print deadlines and coordinate poster printing and delivery

  • Obtains global and local E&C approval for reimbursement of presenting author travel for congress presentation

  • Coordinate travel for presenting author and report transfer of value per Astellas process

  • Support authors to complete required journal forms and payments

  • Coordinate required review and approval of page proofs

  • Submits final publication for upload to Veeva Vault

Outcome/ Impact measurements

  • Support Evidence Disclosure Leads with collecting evidence disclosure outcome/impact metrics for evidence dissemination activities

Qualifications

Required

  • Bachelor’s Degree

  • 2+ years’ experience in a pharma/biotech setting, peer-reviewed journal publisher environment, or related data management role and/or degree in related subject

  • Experience in scientific publications

  • Strong attention to detail and commitment to quality and compliance

  • Excellent English written and verbal communication skills

  • Strong organizational skills with the ability to manage multiple tasks, prioritize

  • Computer literacy; understanding and experience of a range of software packages and applications

  • Ability to work under pressure and at speed

  • Ability to work both as part of a “virtual” team, and as an individual with minimal supervision

Preferred

  • Bachelor’s Degree

  • Strong attention to detail and commitment to quality and compliance

  • Excellent English written and verbal communication skills

  • Strong organizational skills with the ability to manage multiple tasks, prioritize

  • Computer literacy; understanding and experience of a range of software packages and applications

  • Ability to work under pressure and at speed

  • Ability to work both as part of a “virtual” team, and as an individual with minimal supervision

  • 2+ years’ experience in a pharma/biotech setting, peer-reviewed journal publisher environment, or related data management role and/or degree in related subject

  • Experience in scientific publications

  • Experience with Salesforce-based platforms preferred (Global Publication System is built on Salesforce)

  • Familiarity with citation formats and scientific publication practices (i.e. ICMJE, GPP)

  • Experience and/or knowledge of Agile ways of working

  • Experience with contracting, invoicing, and/or budget forecasting

Working Environment

  • This position is based in Global Capability Center (GCC) in Toronto or as exception in Poland, UK, or Japan.

Salary Range: $80,000-$115,000 CAD annually per year (final compensation will be determined based on a variety of factors, including but not limited to proficiency levels and organizational equity considerations) .

*The salary range provided applies to Canada only and does not apply to any other locations outside of Canada.
