AmeriHealth Caritas Executive Assistant II in Manchester, New Hampshire

Role Overview: The Executive Assistant II provides high-level, specialized executive support to the Market President and Chief Medical Officer of the AmeriHealth Caritas New Hampshire health plan, playing a critical role in enabling executive effectiveness, operational execution, and governance within a complex, highly regulated Medicaid and Medicare environment. Serving as a trusted partner to leadership, this role supports strategic initiatives, cross-functional coordination, board-level and executive communications, and complex stakeholder engagement across a matrixed organization, while exercising sound independent judgment and maintaining strict confidentiality. The position operates with a high degree of discretion and professionalism and helps ensure that leaders are well-supported, informed, and positioned to advance organizational priorities.

Work Arrangement:

  • Hybrid – The associate is expected to be in the Manchester, New Hampshire office a minimum of three (3) days per week, with additional in-office presence as needed to effectively support the leadership.

Responsibilities:

Executive & Strategic Partnership

  • Provide advanced, specialized support to the Market President and Chief Medical Officer, including research, analysis, writing, and coordination of complex information.

  • Maintain an in-depth understanding of executive priorities, organizational strategy, and healthcare operational context in order to anticipate needs and proactively resolve issues.

  • Act as a trusted partner to executive leadership by exercising sound judgment and independently managing matters on behalf of leadership, as appropriate.

  • Serve as primary liaison for the Market President, screening communications and ensuring leadership is informed of matters requiring attention.

Communication, Writing & Executive Documentation

  • Draft, review, and edit executive-level communications, presentations, reports, briefing materials, and correspondence for internal and external audiences.

  • Translate complex clinical, operational, regulatory, and organizational information into clear, concise, executive-ready formats.

  • Prepare meeting agendas, executive summaries, organizational charts, reports, minutes, and other leadership documentation with a high level of accuracy and professionalism.

Governance, C-Suite & VIP Support

  • Support executive leadership, board-level meetings, and governance forums through coordination of materials, meeting logistics, minutes, and action tracking.

  • Interface professionally with C-Suite members, physician leadership, senior executives, regulators, and external partners, exercising discretion and diplomacy.

  • Manage highly sensitive executive and governance documentation in accordance with organizational, regulatory, and confidentiality requirements.

  • Support in-person and virtual meetings, including conference space, catering, confidential materials management, and distribution of meeting outcomes.

  • Project & Cross-Functional Initiative Support

  • Support executive-sponsored and organization-wide initiatives by tracking deliverables, timelines, dependencies, and follow-up actions.

  • Coordinate cross-functional efforts across clinical, operational, and corporate teams within a matrixed organization.

  • Maintain action logs, decision records, and status updates; proactively identify and escalate risks or issues to executive leadership.

  • Provide administrative and coordination support to the Market President’s vertical, including Directors, for enterprise initiatives.

Administrative & Operational Excellence

  • Manage complex executive calendars, travel arrangements, expense reporting, and associated logistics.

  • Independently prioritize appointments and coordinate internal and external meetings to align with executive priorities.

  • Ensure seamless executive coverage through close collaboration with other executive assistants and administrative staff.

  • Continuously review administrative and operating practices and recommend improvements to enhance executive effectiveness and efficiency.

  • Deliver exceptional customer service and communicate clearly and professionally with all levels of the organization.

  • Maintain the highest standards of professionalism, integrity, discretion, and confidentiality in all interactions.

  • Demonstrate executive presence and sound judgment in representing leadership internally and externally.

Education & Experience:

  • Bachelor’s degree or equivalent combination of education and relevant work experience.

  • 5 years of experience providing executive‑level administrative support to leadership.

  • Prior experience developing presentations for executive‑level audiences.

  • Experience using Microsoft Visio to document workflows.

  • Demonstrated experience using SharePoint for document management.

  • Proven ability to identify issues, analyze information, and recommend effective solutions.

  • Strong ability to plan, organize, and manage multiple priorities independently.

Skills & Abilities:

  • Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Visio, Teams, and Adobe.

  • Exceptional written and verbal communication skills.

  • Strong organizational skills with keen attention to detail.

  • Ability to manage complex calendars and competing priorities in a fast‑paced environment.

  • Excellent interpersonal, collaboration, and customer service skills.

  • High level of professionalism with the ability to interact effectively with all levels of leadership.

  • Demonstrated ability to handle sensitive and confidential information with discretion and integrity.

Preferred Qualifications:

  • Experience supporting executives within healthcare, managed care, insurance, or payer organizations.

  • Working knowledge of Medicare and Medicaid programs, including familiarity with regulatory, compliance, and payer-provider dynamics.

  • Experience supporting Board of Directors, executive committees, or physician leadership (e.g., CMOs, Medical Directors).

  • Prior experience working with executives and external stakeholders requiring diplomacy, discretion, and executive presence.
