Customer Service Specialist

THE ROLE:

The Customer Service Specialist will be responsible for supporting order management, billing, sales, and customer communication as a key member of our Customer Service team. In this role, the incumbent will demonstrate the ability to succeed in a fast-paced, fluid environment, while ensuring that operational initiatives are met. CORE RESPONSIBILITIES: To perform the job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Respond promptly and professionally to customer inquiries across multiple channels, building strong, trusting relationships.

  • Process orders ranging from quick‑ship to complex, long‑cycle orders, maintaining accurate order details and proactively following up on backlog.

  • Coordinate with other departments regarding shipping dates, pricing, availability, and backorders.

  • Maintain complete and organized virtual customer files.

  • Investigate and resolve billing issues and discrepancies, partnering with A/R teams when needed.

  • Provide pricing, availability, formal quotes, and pre‑/post‑order support for standard and specialty products.

  • Support the sales team with documentation, updates, and customer insights.

  • Assist with internal process improvements and cross‑functional collaboration.

  • Support workflow accuracy, efficiency, and positive customer outcomes.

  • Perform all other tasks, as directed.

QUALIFICATIONS:

  • Must be 18 years of age or older.

  • High school education or GED.

  • 1+ years of order management, customer service, or account management experience.

  • Experience with billing, invoicing, quoting, or related tasks.

  • Strong computer skills, including Microsoft Office Suite.

  • Preferred: Experience with Salesforce CRM, AS400, SAP S/4HANA, or SCPQ tools.

  • Excellent organization, follow‑through, and problem‑solving abilities.

DAY IN THE LIFE:

In this role, the working environment is in an office or virtual customer service setting, and the demands may include regular communication with customers and internal teams, rapid response to issues, sitting or standing for extended periods, and multitasking to ensure timely and accurate service delivery.

The estimated pay range for this position is $26 - $28 per hour. Starting pay is dependent on multiple factors, such as skills, experience, and work location.
