What You'll Do:
The Office Administrator is responsible for ensuring the smooth day-to-day operations of the Madison, MS, corporate headquarters office environment. This role serves as the first point of contact for visitors and provides administrative coordination, facility support, and scheduling services to maintain an organized, professional, and efficient workplace.
Key Responsibilities:
Office & Facility Coordination
Manage conference room scheduling, including coordinating reservations, resolving conflicts, and ensuring rooms are properly prepared
Oversee daily office operations to maintain a clean, organized, and functional workspace
Coordinate with facilities, IT, and vendors for maintenance, repairs, and office services
Monitor office supply inventory and place orders as needed
Guest & Front Desk Support
Serve as the primary point of contact for visitors and guests at headquarters
Greet and assist visitors in a professional and welcoming manner
Coordinate visitor access, badges, and security procedures
Support meeting hosts with guest logistics and accommodations
Administrative Support
Provide general administrative support to HQ leadership and staff
Assist with planning and coordination of meetings, events, and office activities
Prepare meeting spaces, including setup, materials, and catering coordination
Maintain calendars for shared resources (conference rooms, common areas, etc.)
Answer phones in coordination with other administrative support personnel across the organization
Organizing and distributing company mail
Office Planning & Coordination
Support office-wide initiatives such as employee events, engagement activities, and special projects
Assist with onboarding logistics for new employees (workspace setup, supplies, etc.)
Identify opportunities to improve office efficiency and employee experience
Qualifications
Education:
High school diploma or equivalent
Experience:
2+ years of administrative, office coordination, or customer-facing experience
Strong organizational and multitasking skills
Excellent communication and interpersonal skills
Proficiency in Microsoft Office (Outlook, Word, Excel)
Desired Qualifications:
Experience in a corporate or headquarters environment
Familiarity with conference room scheduling tools or office management systems
Experience coordinating events or meetings
Skills:

Work Environment
Primarily office-based at corporate headquarters

May require occasional lifting of office supplies or event materials
