Basic Purpose
Performs administrative / clerical duties for the Director of Sales, General Sales Manager, Taylor Leasing & Rental Manager & Coordinator, and Regional Sales Managers.
Nature and Scope
Ensures administrative and all duties relating to office management are met.
Ensures that the Rental & Used equipment is invoiced, shipped, tracked, and equipment location is updated daily.
Incumbent will be cross trained with Sec/Director of Sales - Assistant Sales Coordinator. Serves in the capacity of TLR Assistant Coordinator
Primary Accountabilities
Monitor billing and administrative support for all rental and used sales transactions
Maintain a working knowledge of all TLR, TCE, and TTARL invoicing processes related to rental and used equipment, including customer portals
Assist hourly metered equipment billing
Coordinate weekly with accounting regarding billing accuracy, inventory status, and collections
Review and monitor service related invoices
Process and monitor active rental contracts and used equipment sales to ensure accuracy and compliance
Assist the Sales team by locating equipment, attachments, and forks
Support off lease returns by collecting return conditions and required photographs
Track rental and used equipment movement and utilization
Monitor and assist with all shipping instructions for TLR equipment
Communicate daily with Taylor Logistics to support timely and accurate delivery of equipm ent
Assist with coordination between internal departments and external partners related to equipment movement
Utilize all Taylor rental systems including but not limited to Admin Sites, Dashborads, Sharepoint, Telematics, Salesforce, and Egnyte to manage operational data and documentation
Retrieve and maintain rental and used equipment documentation from Egnyte
Ensure equipment photos are current and accurate within the TLR Dashboard
Assist with maintaining accurate and up to date information within the TLR Admin Site
Support tracking and maintenance of TLR parts and attachments through I Series and coordination with SSI staff
Prepare and distribute daily and weely reports related to rental and used inventory movement
Compile monthly, quarterly, and annual reports supporting TLR performance and sales objectives
Qualifications
Job Requirements
Associate degree or higher education preferred
Basic computer skills required but must be proficient in Excel.
Proficiency in data entry and typing is important.
Professional demeanor and self confidence in dealing with customers and outside contacts
Problem solving skills are necessary to identify and resolve discrepancies.
Must be able to work in close contact with others in a small office and be able to get along with others.
Skill in answering telephone in a pleasant and helpful manner.
Ability to read, understand, and follow oral and written instructions
Organization skills
Must have the ability to multi-task and work well under pressure
Must be team Oriented
