Operations Support Specialist - Libby First Montana Bank has an opening for a full-time Operations Support Specialist in Libby, Montana. Under the direction of the Libby Operations Officer, this position performs a variety of duties in order to provide central support for branch operations and other bank departments, often providing an additional internal control by ensuring separation of duties, such as in reconciling accounts or reviewing diagnostic system reports. The position is also responsible for providing outstanding customer service, over the telephone or via online chat or email, to assist customers with banking questions and issues. Duties also include tasks related to compliance with the Bank Secrecy Act, consumer regulations and other federal and state laws. The individual could be expected to perform any combination of the duties listed below, as assigned and as required, and may be asked to rotate duties with other department personnel to ensure adequate cross-training and coverage. Provides friendly and courteous customer service for customers via telephone or internet (Chat) on issues pertaining to balance requests, posting issues, Retail Online Banking, including system functionality, unlocking customers, online bill payment issues, password resets and any contact us issues submitted.Assists Operations Officer on multiple projects as assigned, including but not limited to account cleanup projects, research for administrative summons, debit card projects, end of year corrections, etc.Performs routine backup of multiple functions within the department, including but not limited to all aspects of overdrafts, resolution of stop payments, processing Reg E claims, resolution of non-posts, item entry, data entry, payable, and cash letter adjustments as assigned. Responsible for backup reporting of collection items into the Chex System or Collection Bureau Services online systemCollects daily mail from the post office and distribute within the department and Libby branch.Other duties as assigned and as necessary to meet the objectives of the Libby Operations Center.Focus: InvestmentsAssists branch employees with various operational issues including but not limited to posting issues, overdraft issues, collection issues, debit card limit changes, signature card issues and statement issues.Responsible for all incoming/outgoing aspects pertaining to all domestic/international wires, including but not limited to proofing forms submitted by branches, checking names against OFAC database, tracking for BSA purposes, posting to customer accounts and maintaining all records.Maintains balances sufficient to cover all settlements with Fed, UBB and FHLB, including borrowing if necessary; makes entries to correspondent account for daily settlements; and sets the final Fed position at day end.Responsible for daily review of IAT reports on the office of foreign assets control site.Performs all accounting functions pertaining to ICS/CDARS investments.Performs data entry on Fed returns.Creates cash letters on foreign checks.Manages the dormant and inactive signature cards within the director system, including but not limited to pulling reports for the DDA/SAV systems and comparing them to what actually in director.Reviews and balances various General Ledger accounts.Focus: Debit Card & Customer SupportMaintains day-to-day compliance with the Bank’s Secrecy Act using the Fiserv Anti-Money Laundering (AML) program including but not limited to resolution of daily alerts, reviewing branch CTR’s and SARS before electronically submitting to IRS on a weekly basis.Responsible for daily review and daily reporting of debit card activity for potential fraud through the “Enfact” system, including but not limited to reviewing daily alert reports, reviewing foreign transactions, managing the daily created “Enfact” cases, reporting to branches new cases and tracking the outstanding cases.Manages supply vendors including but not limited to maintaining and distributing supply of monetary instruments, debit cards, tokens for e-business customers and various branch supplies stored in Libby Operations.Assists branch employees with various trouble shooting issues including debit card issues, e-bank issues, bill pay issues and manages debit card change requests and maintenance requests.Responsible for debit card maintenance changes within the EFT system including debit card limit changes, expiration date changes, entering exemptions for traveling customers.Focus: General Operations & Electronic Banking SupportPrints and distributes various notices or checks throughout the day including but not limited to COD/Savings checks, COD notices, SAV notices, SDB notices, overdraft notices, RRM, RAM and Fed return notices.Reviews transactions within the remote capture SCO product, including but not limited to randomly looking at items for scanning accuracy, reviewing SCO CAR statistics reports, and checking for possible duplicate items.Prints, reviews and distributes Opt In and Opt Out notices and proof corrections made by branches on the previous day.Monitors Cashier’s Checks over $10,000.00. This includes reviewing the items for accuracy and making sure that the signing authority for those items has been followed.Responsible for initial review on all incoming levies, including researching data base, reviewing signature cards for ownership, debiting customers and account, and creating Cashier’s checks for payment to levy company.Responds to online Social Security Verification requests, including but not limited to research and submitting necessary documents requested by SSI.Responsible for second review and submission on all outgoing international and domestic wires.Responsible for reactivating dormant or inactive accounts upon requests from branches.Responsible for managing stop payments.Assists with maintaining signature card files within the director system including but not limiting to scanning, re-indexing cards for closed or dormant cards and reviewing monthly reports on dormant accounts.
