The Project Coordinator supports complex engineering projects by driving robust project controls, cost management, and reporting activities within a full-service EPCM environment. This role develops and maintains project budgets, prepares detailed cost and schedule reports, and ensures accurate documentation and communication across project teams, subcontractors, and stakeholders. The Project Coordinator works closely with project managers, proposal teams, and finance to provide timely, data-driven insights that support decision-making and keep projects on track in terms of cost, schedule, and scope.
Responsibilities
Develop and distribute project-specific cost control tools and support project managers in the creation and refinement of project budgets.
Maintain accurate and up-to-date project budget information throughout the project lifecycle.
Support proposal managers and estimators by contributing to the development of proposal pricing and cost estimates.
Prepare and provide updated cost reports that show baseline budgets and forecasts, including commitments, change orders, actual costs, estimate to complete (ETC), and estimate at completion (EAC).
Review and update cost coding and cost allocations to ensure accurate tracking of project expenditures.
Generate and distribute internal project cost reports for project and company leadership.
Prepare and issue client-facing cost reports that clearly communicate project financial status.
Assess manpower requirements and determine estimated task durations to support planning and scheduling efforts.
Examine records such as time sheets, payrolls, operations charts, and schedules to obtain data for ETC calculations.
Prepare weekly, bi-weekly, and monthly project updates, including written narratives and custom reports tailored to each project’s needs.
Reconcile project cost reporting with accounting and financial records to ensure data integrity and alignment.
Analyze and report cost variances against budget, identifying trends, potential issues, and areas requiring corrective action.
Maintain a detailed change log that tracks change order requests, approved change orders, change descriptions, reasons, cost impacts, schedule impacts, and cumulative impacts on total project cost.
Assist in the preparation of change order requests and support the documentation of scope changes.
Prepare and maintain project registers for issues, risks, decisions, action items, and lessons learned.
Prepare and distribute project meeting notes that capture key decisions, actions, and follow-ups.
Ensure all contractual requirements related to project controls deliverables are met and properly documented.
Review client invoices for accuracy and completeness, coordinating with internal teams to resolve discrepancies.
Proactively alert and report any significant expected movement in project forecasts to project and company leadership.
Collaborate with client representatives and internal management to communicate project status and address concerns.
Apply strong analytical skills to assess project performance, identify potential performance issues, and support the development of solutions in partnership with project management.
Understand and apply workflows and processes for engineering, design, and construction services within an EPCM environment.
Support proposal development activities by contributing project controls, planning, and cost insights.
Communicate with subcontractors and suppliers to issue statements of work and purchase orders.
Track subcontractor and vendor invoices and commitments to ensure accurate cost reporting and timely payments.
Adapt to shifting priorities, demands, and timelines using strong analytical and problem-solving capabilities.
Collaborate closely with designers, engineers, and project managers to support successful project execution within a multi-discipline team.
Essential Skills
Bachelor’s or Associate degree in Management, Construction Management, or a technical discipline.
At least 2+ years of project coordinating experience.
At least 5+ years of overall professional experience.
Technical project exposure within an engineering environment.
Demonstrated project coordination and project management support experience.
Hands-on experience with project controls, including budgeting, forecasting, and cost tracking.
Strong planning skills and experience supporting project schedules and manpower assessments.
Experience with document control and document management processes.
Proficiency in preparing project reports, cost analyses, and cost reports.
Advanced Microsoft Excel capabilities for data analysis, cost modeling, and reporting.
Working knowledge of finance and accounting concepts, including common contract pricing types such as fixed-price, time and materials, and lump sum.
Strong analytical skills with the ability to interpret project data and identify performance issues.
Effective written and verbal communication skills to interact with project teams, management, clients, and subcontractors.
Ability to conform to shifting priorities, demands, and timelines while maintaining accuracy and attention to detail.
Additional Skills & Qualifications
Primavera P6 experience is strongly preferred.
Power BI proficiency is strongly preferred for data visualization and dashboard reporting.
Experience working in a full-service EPCM or multi-discipline engineering environment.
Familiarity with engineering, design, and construction workflows and processes.
Experience supporting proposal development, including pricing and project controls input.
Comfort working with subcontractors and suppliers, including issuing statements of work and tracking invoices.
Ability to work independently and collaboratively in a fast-paced, project-driven setting.
Strong organizational skills with the ability to manage multiple projects and reporting deadlines.
Work Environment
This role operates within a medium-sized, multi-discipline engineering office of approximately 35–50 people, including field staff, engineers, and project managers. The standard schedule is a 40-hour workweek with a hybrid structure of three days in the office and two days working from home. For highly qualified candidates who meet both the must-have and strongly preferred qualifications, there is flexibility for a mostly remote arrangement, with the expectation of coming into the Lexington office once or twice a month. The team is aligned by client portfolio, so you will collaborate closely with designers, engineers, and project managers who are all supporting the same projects. The work environment is professional, flexible, and supportive, with leadership willing to work around reasonable scheduling and personal needs. Pay and Benefits
The pay range for this position is $30.00 - $50.00/hr.
