Job Description Summary
As the Lease Admin, Associate Director, you will be responsible for the day to day management of the Lease Administration Services team supporting C&W’s client and actively maintaining the Client relationship.
Job Description
General:
Fosters excellent client relationship
Ensure overall quality of service delivery
Coordinate service and/or resources delivered to the client
Manage the flow of key documentation and client communications
Design reporting products to meet the clients’ unique requirements
Ensure accuracy of all client materials
Effectively manages all aspects of account team responsibilities
Lead and / or facilitate client meetings
Generate standardized and ad hoc reporting
Reviews and ensures accuracy of reports and client submittals
Performs other duties as requested by VP
Process Management:
Process management consulting
Implement standardized processes that create maximum efficiencies
Oversee development of standard forms and procedures
Establish baseline performance measurements at onset of relationship or periodic intervals
Develop performance measurements for internal benchmarking
Provide period reporting
Develop and implement account operations manual
Portfolio Administration:
Implement and manage overall portfolio administration function
Recommend and implement process improvements
Develop and implement performance measurements
Manage and /or perform all lease administration tasks
Accountable for accuracy of data in clients’ portfolio management system
Provide written and oral reporting of critical lease action items
Ensure accuracy of critical lease action date reporting
Oversee maintenance of database ensuring all data is accurately classified, approved and processed
Oversee and manage desk lease audits process
Manage review and processing of Estoppel Certificates
Manage subtenants including rent collections and subtenant billing requests
Ensure timely entry of all data and submission of reports
Ensure all files are updated and complete and follow corporate standards for records retention
Manage client budget forecasting and variance reporting
Human Resources:
Participates in the recruiting, hiring and management of human resources
Assess and project staffing needs
Within the structure provided by C&W Human Resource, implement and oversee Performance Management Plan Program for the Account Team under purview.
Participate, when required, in Performance Improvement Plan in accordance with C&W’s Human Resource Guidelines and Policies
Qualifications
Bachelor’s degree in Business Administration, Real Estate, Finance, or a related field; MBA preferred
8+ years’ experience in lease administration, real estate management, or a related field
Understanding of the lease administration function, ideally with multiple industry sector clients and clients of various maturity levels/buying patterns
Proven track record of leadership and team management
Strong financial acumen and experience with budgeting and financial planning
Excellent oral and written communication skills, presentation skills
Strong relationship management and interpersonal skills; team-oriented
Ability to listen and discern client and account needs and make effective presentations on complex topics
Ability to motivate and negotiate effectively with key employees, senior management, and client groups
Demonstrated ability to solve complex problems and deliver a variety of options in complex situations

The company will not pay less than minimum wage for this role.
The compensation for the position is: $ 84,991.50 - $99,990.00
