Job description:
Position Summary: Provides high-level administrative support to CEO, CFTO, executive leadership team and board of directors. Coordinates and manages executive scheduling, prepares and organizes corporate and strategic materials, and supports board meetings and preparation of board materials. Requires excellent time management skills and ability to identify and anticipate executives' needs. Must interact seamlessly and with a professional demeanor across a broad range of individuals, including members of executive leadership team and board of directors. Handles highly sensitive and confidential financial, legal, personnel, and organizational information while exercising professionalism and discretion.
Responsibilities:
· Works directly with the President/CEO and CFTO to support all aspects of their daily work routine. Coordinates complex scheduling and calendar management. Organizes meetings, off-site retreats, etc. as needed. Coordinates travel arrangements.
· Serves as liaison with executives and team members and vendors. This included receiving and screening executive's phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing call appropriately for resolution. Keeps executives advised of time-sensitive and priority issues, assuring appropriate follow up.
· Composes, reviews and sends communication on behalf of executives, including memos, letters, forms, reports and presentations.
· Organizes meeting logistics and takes meeting minutes for executive leadership team and board of directors. Maintains and manages board portal.
· Assist executives with preparing annual budgets, financial audits and corporate financial filings.
· Organizes and maintains corporate and historical electronic and paper files.
· Sorts and triages mail and email. Handles printing, faxing, mail/overnight packages, copying, etc.
· Maintains professionalism and strict confidentiality of information.
Qualifications:
High School diploma
5-8 years of executive administrative experience
Detail oriented and ability to work independently
Excellent written and verbal communication skills, including writing, editing and proofreading.
Proficiency with Microsoft Office and ability to learn new software.
