V2X Administrative Associate Sr II in Kwajalein, Marshall Islands

The Administrative Assistant handles the daily administrative duties of a Receptionist for the Marine Department office. The position reports to the Port Agent and Marine Manager. Duties vary from personnel assistance, management assistance to placing Maximo orders and data entry. Work is performed at the Kwajalein Marine Department office, normally an 8-hour day, five days a week.
Responsibilities
Assists in general office duties including answering the phone, copy machine, document scanner, laminator, assigned computer and any other office equipment.
Miscellaneous Filing.
Opens and tracks Public Works Service Requests.
Places and tracks Vehicle Requests.
Enters, Tracks and Reconciles Maximo orders.
Maintains employee files.
Posts work schedules as required.
Manages Facility Inspection Reports for Port Engineer.
Assists Maintenance Control Specialist with Maximo entries
Assists Port Agent, Port Captain, Port Engineer and Marine Manager on special projects as assigned.
Backs up Maintenance Control Specialist receiving supplies and parts.
Assist others with timecard system.
Process employee leave, vacation requests and maintain vacation spreadsheet.
Disseminate company information and mandatory training.
Performs other duties as assigned.
Qualifications
Education/Certifications: One year related experience may be substituted for one year of education if the degree is required.
High school diploma or equivalent
Experience:
One (1) year experience as Administrative Associate with a satisfactory attendance and performance record.

Must also be able to communicate well as part of a small team and work cooperatively with other colleagues.
Ability to handle multiple projects and details simultaneously.
Results orientated with ability to plan and deliver against project deadlines.

Flexibility to work varying shifts and time schedules as needed.
Ability to pass a federal background check to obtain and hold a DoD Common Access Card (CAC)
Skills:
Knowledge of Safety Data Sheets (SDS) and storage requirements to meet compatibility of products based on hazard class is required.
Strong interpersonal skills are required.
Ability to exercise discretion and good judgement is required.
Ability to prioritized responsibilities to handle a demanding workload is required.
Attention to detail with a high degree of accuracy is required.
Ability to communicate in English, both verbally and in written preferred.
Working Conditions:
Must be capable of working in an extreme weather conditions with temperatures exceeding 120 degrees Fahrenheit.
Indoor and/or outdoor environment with very adverse and harsh conditions (i.e., hot, wet, tropical environment with average temperatures of 130 degrees in the summer months).
Includes some industrial production environment conditions as well.
The worker is subject to atmospheric conditions. One or more of the following conditions that affect the respiratory system of the skin: fumes, odors, dust, mists, gases, or poor ventilation
Physical Requirements:
Medium work. Exerting up to 50 pounds of force occasionally, and/or up to 30 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
Work may require heavy lifting, stooping, climbing, prolonged standing, prolonged sitting, and working with or in areas where a potential could exist for exposure to physical, chemical, or biological agents.
Employee use of personal protective equipment (PPE) is required for some situations. PPE includes, but is not limited to, head, foot, torso, respiratory, vision, and hearing protective devices.
Must comply with all Fire and Safety Regulations and post policies.
