Job Overview
The Administrative Assistant II supports the day-to-day operations of a fast-paced wealth management branch. Reporting to the Manager of Client Service, this role provides administrative, operational, and client-facing support to both leadership and advisory teams.
This position plays a key role in ensuring smooth branch operations, maintaining compliance standards, and delivering a high level of service to clients. It is an excellent entry point into the financial services industry, particularly within private wealth, with opportunities for growth and development for strong performers.
Key Responsibilities
Administrative & Operational Support
• Provide high-quality administrative support to the branch and leadership team
• Assist with daily office operations, scheduling, and coordination tasks
• Support invoice processing, tracking, and submission workflows
• Maintain organized records and documentation in compliance with internal policies
• Read and interpret compliance manuals to ensure adherence to regulations
Client & Branch Support
• Greet clients and visitors professionally and manage front-desk interactions
• Support client-facing teams in delivering a high level of service
• Assist with boardroom setup and meeting coordination
• Handle both back-office and telephone-based tasks
Reporting & Coordination
• Work closely with the branch management team to support ongoing operations
• Assist with Excel tracking and basic reporting tasks
• Communicate operational updates effectively across teams
• Support a large team environment (40+ staff plus sub-branches)
Required Qualifications
Education & Experience
• Undergraduate degree or college diploma in Business (preferred)
• 1–2 years of administrative or related experience
• Experience in financial services or banking is an asset but not required
• Exposure to high-net-worth client environments is an asset
