Make an Impact at the Executive Level

We’re looking for a highly organized, proactive, and discreet Executive Assistant to support senior leaders within our Financial Services team. In this role, you’ll be at the center of key initiatives—partnering closely with the Chief Financial Officer and other executive leaders to keep operations running smoothly and efficiently.

What You’ll Do

As a key member of the executive support team, you will:

Provide high-level administrative support to Finance leaders, including calendar management, correspondence, and call handling

Coordinate and manage meetings (internal and external), including scheduling, agenda preparation, catering, AV needs, and detailed meeting minutes with follow-up tracking

Support executive projects by coordinating timelines, preparing materials, and communicating updates to stakeholders

Create and manage presentations and reports , including PowerPoint decks and Excel-based data analysis

Assist with budgeting, billing, and expense reporting , ensuring accuracy and timeliness

Manage travel arrangements and process reimbursements

Maintain confidential records , including executive files and compensation-related documentation

Collaborate with executive leadership, board members, and external partners to coordinate meetings and initiatives

Provide cross-functional support across the Executive Office, including backup coverage as needed

Support onboarding of new executives in partnership with HR and payroll/benefits teams

What You Bring

Required Qualifications:

High school diploma or equivalent

4+ years of executive assistant or advanced administrative experience

Proven experience supporting projects, including documentation, reporting, and communication

Exceptional communication skills with a polished, professional presence

Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines

Ability to handle sensitive and confidential information with discretion

Strong critical thinking and independent decision-making skills

Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint) and email/calendar systems

Ability to work effectively with diverse stakeholders, including physicians, executives, and external partners

Preferred:

Project management experience
