Robert Half Receptionist / Office Manager in Jacksonville, Arkansas

Description

We are looking for a detail-oriented Receptionist to join our team on a long-term contract basis in Jacksonville, Arkansas. In this role, you will serve as the first point of contact for visitors, handle administrative tasks, and provide exceptional customer service. The position offers an excellent opportunity to contribute to office management and support operations.

Responsibilities:

• Welcome and assist walk-in customers, ensuring a positive and attentive experience.

• Sort incoming mail and distribute it appropriately across departments.

• Monitor and replenish office supplies to maintain a well-functioning workspace.

• Organize and file company records for easy access and secure storage.

• Support staff with order entry tasks and other administrative duties.

• Prepare and process invoices accurately, ensuring timely submission.

• Assist with basic data entry and maintain accurate financial records.

• Handle customer service for multiple accounts, including accepting payments and addressing account inquiries.

• Answer inbound calls using a multi-line phone system and direct them appropriately.

Responsibilities

Front Office & Administrative Operations

  • Answer and accurately route incoming calls via a multi-line phone system and switchboard

  • Greet and assist walk-in customers and visitors

  • Sort, distribute, and manage incoming mail

  • Monitor and maintain office supply inventory

  • File, scan, and organize company records

  • Support staff with order entry and general administrative tasks

Accounting & Invoicing

  • Prepare and process invoices for client

  • Assist with basic data entry and recordkeeping tasks

  • Accept payments and respond to account questions

  • Contact customers regarding past-due balances

    Requirements • Strong organizational skills with attention to detail.

• Ability to handle customer payments in a detail-oriented and secure manner.

• Dependable and committed to maintaining a high level of quality and integrity.

• Experience with receptionist duties, including answering phones and managing front office tasks.

• Familiarity with multi-line phone systems and switchboards.

• Capable of managing inbound calls efficiently and courteously.

• Prior experience in administrative support or office management is preferred.
