Ithaca College ADMISSION SERVICES ASSOCIATE in Ithaca, New York

Summary:

The Admission Services Associate is the first point of contact for prospective students, families, and campus partners interacting with the Office of Admission. This role is essential to creating a welcoming, informative, and supportive experience throughout the college search and admission process.

Responsibilities include coordinating campus visit activities, supporting application processing and communications, maintaining accurate data and records, and assisting with daily office operations and special projects.

Supervision:

This position reports to the Admission Services Coordinator. The role does not include formal supervisory responsibilities but may provide day-to-day guidance to student assistants.

Key Responsibilities:

Duties may include, but are not limited to, the following.

Visitor and Reception Support

  • Serve as a welcoming presence for prospective students and families engaging with the Office of Admission.

  • Schedule individual appointments, information sessions, and campus and departmental tours based on prospective student interests.

  • Manage visitor flow, including extended appointments, late arrivals, and walk-in visitors.

  • Provide guidance related to on-campus parking, the City of Ithaca, and other logistical needs, and refer visitors to appropriate Admission staff or campus offices as needed.

Campus Visits and Events

  • Support the planning, scheduling, and execution of admission events, including on-campus programs, virtual events, and open houses.

  • Coordinate visit logistics and ensure accurate scheduling and communication with internal partners.

Communication and Outreach

  • Serve as an information resource for prospective students, families, and counselors throughout the admission process.

  • Communicate professionally and responsively via phone, email, and other platforms with prospective students, families, school counselors, alumni, and referral partners.

Application Processing and Data Management

  • Enter and maintain data related to event inquiries, admission applications, supporting documents, and admission decisions with a high level of accuracy and attention to detail.

  • Scan, index, and manage applicant materials in a timely manner to support efficient application review.

  • Maintain documentation of office procedures related to data entry, scanning, indexing, and database use.

Office Operations and Administrative Support

  • Prepare, edit, and maintain documents, files, and records.

  • Support the production and distribution of prospective student communications, including inquiry, application, and decision materials.

  • Receive, process, and distribute incoming postal mail for the Office of Admission.

  • Support general office operations, logistics, and special projects, as assigned.

Community and Inclusion

  • Demonstrate and model a commitment to multicultural awareness, inclusion, and respectful engagement.

  • Contribute to creating an environment that is flexible, collaborative, inclusive, and supportive of a diverse campus community.

  • Interact with students, families, staff, faculty, and visitors in a professional, civil, and inclusive manner.

Professional Standards

  • Execute responsibilities in alignment with the service philosophy and student-centered orientation of the Office of Admission.

Other responsibilities may be assigned as needed to support the mission of the Office of Admission.

Qualifications:

Associate degree and two years of related experience, or an equivalent combination of education and experience.

Excellent interpersonal, verbal, and written communication skills are essential.

Strong attention to detail, organizational skills, and the ability to manage multiple priorities are critical.

Demonstrated ability to work effectively with a diverse population and provide a high level of customer service.

Proficiency with standard office software (e.g. Microsoft Office Suite) and the ability to learn additional software systems.

Flexibility to work extended hours during peak admission cycles.

Preferred Qualifications:

Experience working with a student information system or CRM.

Prior experience in a college admission office, higher education setting, or high-volume customer service/reception environment.

Work Environment:

Evening and weekend work may be required to support admission programs and events.

Work is primarily conducted in a safe, accessible indoor office environment, with regular use of computers and standard office equipment. The role requires mobility across campus, which may include walking, driving, or arranging alternative transportation.

This position is 37.5 hours per week, 52 weeks per year.

Hiring Range:

$18.00 to $18.50 per hour, commensurate with qualifications and experience.
