Aston Carter Hybrid Executive Administrative Assistant in Indianapolis, Indiana

Description

What You'll Do:

  • Support SharePoint sites owned by functional leaders.

  • Manage calendars by scheduling appointments and meetings for function leaders.

  • Manage organizational announcements and internal distribution lists

  • Handle sensitive and confidential information with utmost discretion and integrity.

  • Organize/plan large meetings and events including agenda development.

  • Act as a primary point of contact with external/internal stakeholders liaising to ensure smooth workflow and communication.

  • Prepare and edit documents presentations and correspondence.

  • Manage expense reports for functional leaders.

  • Arrange domestic and international travel for functional leaders and assist in international travel for extended team.

  • Coordinate support and oversee special projects as needed.

Additional Skills & Qualifications

Must Have:

  • Proficiency in Microsoft Word Excel PowerPoint and SharePoint is required

  • Experience managing travel and expenses is required in Concur is preferred

    • Experience working for a Global company is preferred.
  • Minimum 2 years Experience

  • Must be motivated to work hard and is comfortable in a professional fast paced environment. Has a sense of urgency and able to multi task and prioritize. Comfortable working with and supporting a large group 2 directly

  • Able to be discreet.

  • Proactive mindset vs. Reactive.

  • Collaborative and able to work well in a group and with the other Admins onsite

Must work between 7am - 6pm (8 hour shift) Monday - Friday. Must be onsite Tuesday, Wednesday, Thursday

Job Type & Location

This is a Contract position based out of Indianapolis, IN.

Pay and Benefits

The pay range for this position is $21.00 - $22.00/hr.
