ICCAP Deputy Director in INDIANA, Pennsylvania

Areas of Responsibility:

  1. Secondary responsibility for overall agency management and administration, in the absence of the Executive Director.
  2. Guide and undertake the organizing, review and implementation of all administrative support activities that facilitate and expedite the smooth running of the office.
  3. Fulfill the administrative and office support activities for all staff and board including managing an agency calendar and providing reminders.
  4. Support Executive Staff and Board Representatives by assisting in the preparation and coordination of meetings, responsible for minutes of meetings, conferences, training sessions and other meetings as directed by Executive Director.
  5. Maintain and update master office and agency files in electronic and paper form directed by operating procedures, contracts and by-laws.
  6. Maintain grants, contracts, and grant's reports required by the Executive Director.
  7. Review and make recommendations to Executive Director regarding operational procedures to ensure efficient management of office environment.
  8. Provide administrative and error free clerical support for all reports, funding applications, and correspondences.
  9. Serves on management bargaining team during contract negotiations.
  10. Responsible for supervision of appropriate staff as designated by Executive Director.
  11. Responsible for implementation and follow through of hiring process and maintenance of agency personnel records.
  12. Responsible for maintaining agency insurance files.

     

Specific Duties:

  1.  In Executive Director's absence, direct day-to-day operations of agency.
  2. Responsible for typing and verifying all information on appointment letters, Employee Action memorandums, and any other letters and reports as required.
  3. Maintain personnel files for all active and inactive employees in accordance with ICCAP Policies and Procedures and keep files current by filing all necessary information.
  4. Coordinate with Executive Director and other program directors in setting up employee interviews.
  5. Receives and acknowledges credit and reference checks for all applicants for employment with ICCAP.
  6. Responsible for written notification of all persons selected or not selected for employment with ICCAP, and the proper processing of all paperwork.
  7. Complete orientation with all new employees
  8. Coordinate preparation of board packets, take and transcribe minutes of monthly board of directors meetings, and act as the liaison to notify board of directors and committee of activities and meetings.
  9. Assist in the development and publication of ICCAP's annual report and newsletters.
  10. Enroll staff in agency insurance plans.
  11. Prepare documents for open enrollment and distribute to all eligible employees.
  12. Maintain website and social media accounts in coordination with Executive Director.
  13. Attend evening and weekend meetings as assigned.
  14. Travel overnight and out of area as assigned.
  15. Other duties as assigned

     

     

Screening Criteria:

  1. At least five years of experience in Business Administration or an Associate Degree in Business Administration.
  2. Valid PA driver's license, reliable transportation and willing to travel in Indiana County and other counties as required.
  3. Must be able to work independently without close daily supervision.
  4. Excellent verbal and written communications skills and have the ability to speak publically.
  5. Must display advanced skills with Microsoft Office including work processing, excel spreadsheets, mail merge, etc.
  6.  Proficient with desktop publishing, adobe and Photoshop types of software.
  7. Demonstrated organizational skills.
  8. Computer literacy required; competency preferred.
  9. Must have or be willing to obtain a Motor Vehicle Report, Act 33 & 34 clearances, and FBI clearance with fingerprinting.
  10. Must have vehicle insurance to comply with agency standards of coverage.
