Position Summary :
Facilities Specialist is responsible for overseeing the general operations of Clinical Trial Services Site Korea, ensuring organizational effectiveness, operational efficiency, and the safety of all employees. This role supports site management in executing business plan activities necessary to effectively respond to crisis situations and to ensure compliance with all applicable regulations and business requirements. The primary objective of this position is to identify, document, and plan business needs in alignment with the existing infrastructure and facilities to support sustainable business growth. Report overall facility matters to the Head of Korea Facilities, and GxP-related matters to the Operations Leader, Clinical Trial Services Site Korea.
Responsibilities:
Facility Management
Lead that facilities meet compliance standards and government regulations.
Lead that basic facilities are well-maintained and conduct proactive maintenance and overseeing any renovations, refurbishments and building projects.
Implement the qualification and maintenance of department, premises and equipment. Lead the appropriate validations (including process validation) and implement.
Lead sourcing and overseeing contracts and service providers for functions such as cleaning, security, and technology.
Drive planning for the future by forecasting the facility’s upcoming needs and requirements.
Manage service vendors and contractors as related to onsite activities and projects
Seek ways to reduce costs and improve operational standards
Drive in the implementation and management of a property risk management program
Lead the implementation and monitoring of disaster recovery and business continuity plans
Implement and manage safety procedures to ensure the provision of a safe working environment
PPM master plan management
Facilities/Equipment validation
Business Continuity Plan (BCP)
Collaborate with all functional business areas to develop and maintain a company-wide BCP program that addresses business recovery and emergency response management.
Participate in the development of BCP planning and goals
Develop and execute the maintenance and testing programs for all business plans, Websites, and other information/communication tools.
Lead the execution of the plans at the time of a crisis event.
Procurement
Lead to contact between the company and suppliers and negotiate contracts, terms and deadlines with vendors and suppliers.
Develop and implement a procurement strategy to monitor and maintain key supplier/vendor metrics and KPIs to measure supplier performance, lead-time, cost performance, productivity and quality.
Design effective budget models to control the budget and forecast future budgets needs
Environmental Health & Safety
Promote and develop a health, safety, environment and sustainability culture which secures effective implementation of policy, procedures and responsibilities.
Evaluate health and safety practice and procedures for risk assessment and following legal and corporate guidelines.
Evaluate and documentation of NPI prior to incoming with relative teams.
Investigate accidents and incidents to find cause and take prevention measures for further incidents.
Conduct accident prevention training and health and safety training and work with HR to set up a new employee on-boarding process for safety.
Lead emergency action and response planning
Hazardous material handling and monitors to ensure all building procedures and performance measures are always maintained
Others
IT/Systems Liaison
Support Supervisor of Operations to lead overall Projects
Additional Responsibilities
Support lease administration including tracking lease terms, critical dates, and coordinating with landlords for site-related matters
Support execution of site projects including renovation, expansion, and relocation, ensuring alignment with timelines and operational requirements
Assist in managing physical security operations including access control, CCTV systems, and coordination with security vendors
Support space planning and workplace setup to meet evolving business needs and optimize space utilization
Maintain accurate facility documentation and support audits and inspections in compliance with GxP and corporate requirements
Coordinate with internal stakeholders to support site operations and meet business requirements
Support tracking and management of facility assets and equipment lifecycle
Qualifications:
Requirements
Bachelor’s degree in facility management, engineering, business administration or equivalent experience
At least 7 years of experience in the relevant field.
Good working knowledge in managing infrastructure and facility
Experience with BCP operations
Good knowledge of data analysis and risk assessment
Knowledge of basic accounting and finance principles
Demonstrated confidence in written, interpersonal, inter-cultural and communication in English
Experience in vendor management and cross-functional coordination
Basic understanding of lease administration, physical security, and asset management is preferred
Having Certificates (산업안전기사, 환경기사, 소방기사, 화학분석기사, 전기기사) is beneficial
