POSITION SUMMARY: Under the direct supervision of the Vital Statistics Enrollment Officer represents the Vital Statistics Division in a positive, professional manner while providing administrative and technical support.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1.     Assists Enrollment Officer and Tribal Information Services staff with administrative duties and the organization of information.

2.     Establishes and maintains accurate filing systems, to include classification and filing of records and documents in the database and the secured filing system.

3.     Maintains accurate files in the Tribal Member Data Base and in hard copy.

4.     Assists in compiling information needed to complete projects and assignments as directed.

5.     Assists in creating correspondence for the tribal membership as it relates to tax exemption, CIBs, descendancy requests, tribal identification cards, tribal enrollment applications, demographic changes, and funerary services information. 

6.     Assists in maintaining and monitoring all vital statistics data requests received and provided monthly.

7.     Assists the Enrollment Officer with the Tribal Member Portal requests and approvals for data gathering.

8.     Organizes all phases of office operations in an efficient and effective manner.

9.     Assists in planning and preparing meetings and conferences for the Vital Statistics Enrollment Officer and collaborating with departments and/or tribal entities.

10.  Assists the Enrollment Officer with routine tasks related to the ETC REAL ID Program and implementation.

11.  Responsible for routine database management and assists with periodic audit of all census files to verify accuracy.

12.  Attends training and workshops, as requested

13.  Prepares the Tribal Council minutes for mail distribution including appropriate labeling, stuffing, and postage.

14.  Provides secretarial support to the TIS Enrollment Officer.

15.  Posts and mails department correspondence.

16.  Records all receivables and deposits funds with Finance for tribal IDs.

17.  Participates in a positive, supportive, and team-oriented environment.

18.  Must keep informed of all Tribal events and functions in order to relay information to staff and Tribal Members.

19.  Assists with monthly report data gathering for the Division.

20.  Performs other job-related duties as assigned.

QUALIFICATIONS:

Must have a High School Diploma or Equivalent.

Must have 2 years of experience in an administrative /clerical capacity.

Must have computer experience with software programs including Microsoft Word and Excel.

Must have experience in establishing and maintaining digital and hardcopy filing systems.

Must have general knowledge of budgets, general procurement procedures, accounts receivables and payables.

Must have a valid driver's license for the State of residency and be insurable through the Tribal Vehicle Insurance policy.

Must pass a thorough background check including Criminal History and pre-employment drug test.
