Purpose of Position: Provides administrative & secretarial support to the Director of Security & Emergency Management, in an efficient, professional & confidential manner. Effectively & collaboratively interacts with patients / families, Medical Staff, employees & other hospitals & agencies. Facilitates effective administrative processes for the office of the Director of Security & Emergency Management Description: Provides administrative support of a highly confidential nature for correspondence, reports, memoranda, budget & special reports, technical papers, staff schedules & payroll, employee discipline, & grievance procedures, as requested. Schedules & maintains appointments for the Director of Security & Emergency Management. Make conference & travel arrangements. Maintains established department policies & procedures, objectives, quality assurance, safety & regulatory reporting standards. Handles confidential information concerning hospital & department operations in a professional manner. Manages complaints received in a professional & timely manner. Receives & opens correspondence. Sorts & distributes information & data. Using business etiquette: greets staff & visitors to the office, answers inquiries & provides assistance, answers telephones, screens & directs calls to appropriate persons, takes messages & returns calls as needed or requested. Organizes & maintains Security offices. Orders all security supplies & uniforms for officers of the department while consulting the Director of budgetary restrictions. Word processes, manages & maintains information & data. Maintains confidential hardcopy & computer filing system. Maintains administrative database. Produces correspondences, memorandums & special reports as requested. Composes letters & memorandums from verbal/written direction or from knowledge of practice/procedures. Attends meetings as assigned. Prepares, maintains & catalogs minutes of meetings. Prepares accurate & timely materials, data, reports, contracts, agreements, re-licensing, applications, & other related data management & reporting to regulatory, memberships & legal entities. Maintains schedule of administrators/managers, on-call schedule, vacation & conferences. Maintains files of documents/agreements related to outside agencies. Maintains office supplies & equipment as necessary. Completes tracks, submits & manages account payable process for all routine bills & accounts. Performs other work-related duties as assigned or requested. Qualifications: Associates Degree in business or secretarial science &/or 5 years\' experience in office management in a hospital or healthcare setting preferred. Computer literate in Microsoft Office Advanced knowledge of Excel & PowerPoint preferred Independent judgment, confidentiality, initiative & adaptability to handle non-routine tasks Business etiquette, congeniality, & enjoyment of working with diverse groups of individuals Schedule Details: 32 hours per week, Monday-Thursday, 8:00am-4:00pm, No Weekends, Occasional holidays
