Job Description

This onsite, contract-to-hire Receptionist position supports a busy front desk in Huntsville, Alabama. The role serves as the primary point of contact for visitors and customers, ensuring a professional, welcoming experience while maintaining building security through visitor check-in and badging. The Receptionist acts as the face of the organization, providing excellent customer service, managing a variety of administrative tasks, and supporting facilities and office operations in a fast-paced, dynamic environment.

Responsibilities

  • Greet and check in customers, guests, contractors, and visitors in a professional and welcoming manner.

  • Create and issue photo identification and access control badges to visitors and contractors, helping to ensure the security of the building.

  • Answer incoming phone calls promptly and route them to the appropriate employees or departments.

  • Assist with conference room scheduling, ensuring meeting spaces are reserved and coordinated effectively.

  • Provide general administrative and clerical support, including handling routine office tasks as needed.

  • Support onsite facilities and operations team members with assigned tasks and projects.

  • Submit service tickets for facility-related issues and building maintenance using Corrigo or similar systems.

  • Maintain and regularly update the building contact list for key onsite personnel and their locations.

  • Update and maintain the site’s Concierge Playbook, ensuring a current version is always available at the reception desk.

  • Adapt to changing priorities and take on additional duties and tasks as assigned to support business needs.

  • Demonstrate flexibility in responsibilities and working hours when overtime or schedule adjustments are required.

Essential Skills

  • At least 2 years of receptionist or administrative experience in a professional setting.

  • High school diploma or equivalent.

  • Proven ability to work effectively in a busy, fast-paced, and quickly changing front desk environment.

  • Strong customer service skills with a focus on creating a positive experience for visitors and employees.

  • Professional verbal and written communication skills, with the ability to interact confidently with a wide range of people.

  • Strong organizational skills with the ability to manage multiple tasks simultaneously and with minimal supervision.

  • Positive, proactive, and solution-oriented attitude toward problem-solving.

  • Ability to sit for long periods, climb stairs, and lift up to 25 pounds as needed.

  • Proficiency with desktop computing platforms, including PC environments.

  • Working knowledge of Microsoft Office Suite and Microsoft Teams.

Additional Skills & Qualifications

  • Associate degree or completion of college coursework is preferred.

  • Previous experience in an administrative role at a very busy front desk is preferred.

  • Experience in customer service or property management environments is beneficial.

  • Experience using facilities or work order systems such as Corrigo is an advantage.

  • Demonstrated ability to collaborate with facilities and operations teams.

  • Comfort working as the first point of contact and representing the organization to visitors and guests.

Work Environment

This is an onsite, contract-to-hire role based at a professional facility in Huntsville, Alabama, with standard hours of Monday through Friday, 7:30 a.m. to 4:00 p.m., and flexibility to work overtime when needed. The work is performed at a busy reception desk in a fast-paced environment with frequent visitor interactions, phone calls, and administrative tasks. The role involves using desktop computers, Microsoft Office Suite, Microsoft Teams, and facility ticketing tools such as Corrigo. The position requires sitting for extended periods, occasional stair climbing, and the ability to lift up to 25 pounds. Professional attire and a polished, customer-facing demeanor are expected to reflect the organization’s image to all visitors and guests.

Pay and Benefits

The pay range for this position is $15.00 - $17.75/hr.
