WSP USA Lead Project Coordinator in Herndon, Virginia

This Opportunity

kW Mission Critical Engineering, a WSP company which specializes in the design of Data Centers, is currently looking for a Lead Project Coordinator for our Herndon, VA office. This role will be onsite and in office five days a week. The Lead Project Coordinator is responsible for supporting Project Managers and project teams with administrative duties throughout the project lifecycle. They will take a proactive role in moving projects forward and facilitating integration on projects.

Your Impact

  • Assist in administrative tasks associated with pursuits, projects, and office operations.

  • Create and maintain document file storage systems and policy documentation.

  • Assist in preparation of proposal/pursuit materials.

  • Maintaining project calendars and project schedules.

  • Assist in processing contracts and sub-consultant contracts.

  • Assist in scheduling design reviews, charrettes, and regular project meetings.

  • Attend project, department and team meetings and take meeting notes. Distribute meeting notes internal and externally as required.

  • Assist in generating project financial management reports.

  • Assist in tracking invoices and project payments.

  • Assist in tracking scope changes and preparing add service requests to the client.

  • Assist the project team in receiving, filing, distributing, processing, tracking due dates and responding to RFI’s, submittals and responses.

  • Provide production support for project technical staff.

  • Assist project teams in distributing project materials to clients and other industry partners.

  • Edit and format specifications, Table of Contents, Basis of Design Reports and other written materials as required.

Who You Are

Required Qualifications

  • High School Diploma or GED Required

  • 6+ years experience

  • Willing to work overtime when needed to support team goals.

  • Demonstrates strong ownership of assigned responsibilities, seeing tasks through to completion with minimal supervision and a clear focus on results.

  • Detail oriented with ability to manage multiple priorities and meet deadlines in a changing and ambiguous environment.

  • Takes full accountability for deliverables, proactively managing priorities, deadlines, and dependencies to ensure commitments are met.

  • Follows through on assigned actions, addressing obstacles independently and escalating risks or issues early when support is required.

  • Proactively tracks progress on assigned tasks and communicates status, risks, and completion clearly to stakeholders.

  • Excellent verbal, written communication and problem solving skills.

  • Ability to contribute and interact well with others as well as develop and manage high quality professional deliverables on projects and tasks.

  • Demonstrates excellence in providing high quality level performance within the state-of-the-practice and innovative thinking when opportunities arise.

  • Demonstrates commitment to keeping up-to-date in technical knowledge of current and emerging business practices.

  • Ability to work independently and provide guidance and leadership to junior team or project members, with strict adherence to completing daily activities according to work schedule.

  • Proficient in MS Office applications, including Word, Excel, Outlook, Power Point and others.

  • Working knowledge of cloud-based file sharing platforms such as SharePoint, ShareFile, Newforma, Dropbox, Box, etc. is an advantage.
