Job Description
The Assistant Project Manager supports the full project lifecycle for specialized healthcare construction and renovation projects, from preconstruction through closeout. This role focuses on technical, occupied, and challenging interior renovations in hospitals and healthcare facilities, ensuring projects are delivered safely, on schedule, within budget, and to high quality standards. The position offers flexibility for candidates interested in relocating, with relocation support available.
Responsibilities
Lead and support the preconstruction phase of assigned projects by thoroughly understanding the unique features, complexities, and risks of each project and ensuring they are accurately reflected in the budget, schedule, and general conditions.
Review and update budget clarifications and exclusions with each budget revision, track changes in budget line items using an accurate budget log, and assist the owner and design team in developing solutions to mitigate cost overruns while meeting client expectations.
Support the finalization of the owner contract, including clarifications, exclusions, project schedule, and general conditions, ensuring alignment with project goals and requirements.
Take responsibility, in partnership with the superintendent or site manager, for the production, quality, safety, and timely, profitable completion of assigned projects.
Proactively build and maintain strong relationships with clients, architects, engineers, and owners, and help initiate new project opportunities through professional interactions and project interviews.
Prepare for and attend client introduction meetings and project interviews, representing the project team and capabilities in a professional and knowledgeable manner.
Ensure timely award, preparation, and execution of complete and competitive subcontracts, professional service agreements, and purchase contracts.
Confirm that the site team understands and follows all prerequisites for subcontractors to begin work on site, including signed contracts, approved and current insurance certificates, bonding requirements, and any special project-specific considerations.
Ensure payment and performance bonds or bond waivers are correct, properly documented, and stored in an easily accessible location.
Assist in preparing final construction budgets and review the general contract under the direction of the immediate supervisor.
Prepare timely and accurate requisitions and ensure that all funds due are collected promptly in coordination with accounting and project stakeholders.
Thoroughly understand and execute the terms, conditions, and requirements of the general contract, including schedule, change conditions, delays, and notice provisions.
Hold internal teams, owners, design teams, and subcontractors accountable to the requirements of the general contract, particularly regarding project schedule, changed conditions, delays, and formal notices.
Conduct or lead progress meetings with the owner and design team, manage meeting minutes, and maintain related documentation in an organized and timely manner.
Require weekly progress meetings with subcontractors, ensure the site manager conducts these meetings, and confirm that professional, detailed meeting minutes are prepared and distributed promptly.
Attend at least one subcontractor progress meeting per month and review meeting minutes bi-weekly with assigned site teams to monitor progress and address issues.
Prepare change orders and time extension requests in a timely manner, follow them through the approval process, and ensure associated payments are received.
Maintain a detailed change order log that supports and validates projections on the change order cost report.
Review and approve transaction orders, invoices, and requisitions, ensuring that field accounting procedures comply with company standards.
Ensure subcontractor requisitions and invoices are submitted promptly to the Accounting Department and that subcontractors receive copies of any changed requisitions.
Require the implementation of, and compliance with, the company’s safety program on each project and actively support a culture of safety on site.
Require the implementation of, and compliance with, the company’s quality control program, including ensuring site managers conduct thorough preconstruction meetings with every subcontractor before work begins.
Support and monitor the company’s four-phase Quality Control Plan by confirming that all required meetings and inspections occur and are properly documented.
Conduct a job review preparation session a few days before each assigned job review to provide a learning and development opportunity for the site team.
Prepare thoroughly for all job reviews, preconstruction meetings, and closeout meetings, and ensure assigned teams understand expectations and their roles in these meetings.
Conduct accountability and coaching meetings with direct reports at least monthly to help them set and achieve job performance and professional development goals.
Ensure the site team understands, implements, and updates the project schedule at least monthly, or more frequently as required by the contract.
Hold daily discussions with the site manager regarding job progress, staffing, coordination issues, and upcoming work to keep the project on track.
Become familiar with any job-specific requirements (such as HUD, DCA, FAR, or other regulatory or funding requirements) and implement them correctly to avoid delays or issues with payment.
Work to resolve contract disputes quickly and fairly so that they do not delay any portion of the project or damage project relationships.
Essential Skills
AEC degree (architecture, engineering, or construction-related field) with at least 1 year of experience in construction project management or assistant project management, OR no degree with at least 3 years of proven Assistant Project Manager experience.
Minimum of 2 years of experience working in healthcare facilities where interior construction or renovation work is being performed.
Demonstrated experience running healthcare construction projects from conception to completion, managing all phases from preconstruction through closeout rather than joining mid-project.
Hands-on experience in construction project management within a general contracting environment, particularly on interior renovation projects.
Ability to manage and track project budgets, clarifications, exclusions, and change orders with strong attention to detail and accuracy.
Proficiency in interpreting and administering general contracts, including schedule requirements, change conditions, delays, and notice provisions.
Strong organizational skills for maintaining logs, documentation, meeting minutes, and contract records in a clear and accessible manner.
Ability to coordinate and collaborate effectively with superintendents, site managers, subcontractors, owners, architects, engineers, and internal teams.
Strong communication and interpersonal skills for leading meetings, conducting client interactions, and coaching team members.
Commitment to enforcing and supporting safety and quality control programs on active construction sites.
Problem-solving skills to assist in developing cost mitigation strategies, resolving contract disputes, and addressing project challenges quickly and fairly.
Additional Skills & Qualifications
Experience working with healthcare construction requirements and protocols, including infection prevention and dust containment practices in occupied healthcare environments.
History with technical, occupied, and complex renovation projects, particularly in hospital or healthcare settings.
Familiarity with job-specific regulatory and funding requirements such as HUD, DCA, FAR, or similar programs, and the ability to implement related procedures accurately.
Experience with competitive subcontracting, professional service contracting, and procurement processes for construction projects.
Prior experience preparing for and participating in project interviews, client presentations, and business development activities.
Experience coaching or mentoring field and project staff, including conducting regular performance and development discussions.
Ability to build long-term client relationships and contribute to a culture of service, quality, and continuous improvement.
Interest in relocating to the Washington Metropolitan area, with flexibility to move from various locations, including within Virginia and North Carolina, supported by relocation assistance.

This role combines office-based work with regular visits to active project sites. Pay and Benefits
The pay range for this position is $43.00 - $60.00/hr.
