As a Recruiting Coordinator based in our Heredia, Costa Rica office (3 days in-office, 2 days remote), you will ensure smooth and efficient recruitment while providing a positive candidate experience. You will prepare and send job offers, maintain recruiting records, deploy policies, and handle documentation as required. You will work in a team-oriented environment supporting a global Talent Acquisition and Human Resources organization. Forming strong relationships with internal client teams is essential. Our ideal candidate will have excellent customer service skills and the ability to manage a high volume of tasks with minimal supervision. We are looking for someone who is highly organized, detail-oriented, and able to multitask. This position will support our team on a full-time 40-hour work week basis with the expectation of coming into the office in Heredia, Costa Rica for 3 days a week.
Schedule complex interviews across multiple time zones and departments and manage reschedules and candidate communication
Prepare and extend offer letters and generate supporting documents within Workday
Maintain and update the applicant tracking system and job postings across relevant job boards
Serve as a primary support resource for the Talent Acquisition team, answering questions, troubleshooting issues, and providing workflow guidance
Ensure a welcoming and professional experience for candidates, providing timely updates throughout the process
Process incoming invoices and assist with vendor setup, documentation, and purchase order requests
Support HR Operations by entering data and transactions in Workday and responding to employee or manager inquiries as needed
Maintain consistent written and verbal communication, providing timely updates throughout the hiring process
Assisting with the creation, improvement, and documentation of recruiting and staffing processes
Participating in team projects and workflow enhancements as assigned
Job Requirements:
2+ years’ experience in recruiting coordination, HR operations, or a related administrative function which require an impeccable attention to detail
BA/BS degree is encouraged, or equivalent work experience is required
Proficiency with applicant tracking systems (ATS) preferably Workday, scheduling tools, and general HR technology
You communicate clearly and professionally, both verbally and in writing, and you’re comfortable reaching out to candidates or following up with hiring managers as needed
You value efficiency and are always looking for ways to improve processes, streamline workflows, and make things easier for the people you support
You are comfortable working with systems such as Outlook (especially scheduling), Teams, PowerPoint, Excel, and applicant tracking systems, and you’re confident learning new tools when they’re unfamiliar.
You bring strong emotional intelligence and a natural desire to help. You anticipate what’s needed next and take initiative to ensure everything runs smoothly
You are resourceful and proactive, able to solve problems independently while also knowing when to ask for support or clarification
You enjoy taking ownership of your work and are eager to step in on new assignments and a variety of responsibilities
You take pride in delivering high‑quality work and strive to get things right the first time
You are adaptable and perform well in a fast‑paced environment where priorities can change and no two days are the same.
