JOB SUMMARY
The Purchasing Clerk is responsible for assisting the procurement department in procuring goods and services needed for Company operations. This role involves preparing purchase orders, maintaining purchasing records, coordinating with vendors, and ensuring timely delivery of products while adhering to company policies and budget guidelines.
ESSENTIAL JOB RESPONSIBILITIES:
Prepare and process purchase orders (POs) based on requisitions from various departments
Research and evaluate PO's and supplier communications to ensure quality, cost-effectiveness, and timely delivery
Maintain accurate purchasing records, including invoices, purchase agreements, and supplier contracts; communicate with vendors and internal teams to confirm order details, resolve discrepancies, and track deliveries
Assist in reconciling invoices and processing payments with the finance department
Ensure all purchases comply with company policies and budgetary constraints
Handle any issues related to damaged or incorrect shipments and coordinate returns or replacements
Prepare reports on purchasing activities and supplier performance
Compare prices and recommend cost-saving opportunities as required
Adhere to and support all safety policies and guidelines
Perform other duties as assigned
REQUIRED QUALIFICATIONS:
High school diploma or equivalent
Two (2) years of experience in a purchasing, procurement or supply chain role
Basic knowledge of procurement processes
Strong organizational and administrative skills
Strong prioritization skills and ability to multitask
Excellent communication skills
Proficiency in Microsoft Office (Excel, Word, Outlook) and purchasing software
Familiarity or experience with Acumatica or other ERP systems
Ability to work both independently and in a team environment
Attention to detail and accuracy in data entry
PREFERRED QUALIFICATIONS:
Associate's degree or higher in Business, Supply Chain Management or related field of study
Two (2) plus years of experience in a purchasing, procurement, or supply chain role
Experience working in a custom equipment manufacturing environment
