Under general supervision of the Montana State University Extension Office Co-Directorships this position performs key administrative and accounting functions for the entire department. Look here to learn more and see if you may qualify!ohttps://fed-pro.org/public-service/Other BenefitsIncludes:•Working in a fast-paced environment;•Cost of living increases;•Market adjustments;•Step based wage increases;•Paid parental leave.Duties•Performs administrative support and reception duties, including but not limited to answering phones, greeting, and assisting the public, and responding to inquiries; •Schedules appointments and maintains office calendars;•Performs data entry;•Prepares invoices, accepts payments, and performs cash receipting and depositing;•Processes claims;•Performs 4-H enrollment and Fair Entry Enrollment; Oversees the Fair Entry software to ensure efficient registration and tracking of county extension programs; •Maintains office files and electronic filing;•Composes correspondence;•Maintains, monitors and orders supplies;•Receives and distributes incoming mail; •Generates and develops reports; •May assist with budget preparation; •Maintains the County extension website, Facebook page, and other social media outlets;•Assists with extension workshops to include scheduling, marketing of events, and coordination of activities;•Creates promotional materials to support extension programs and events; •Administers private applicator tests and tests soil;•Assists with workshops;•Performs other duties as assigned.This job description is not designed to cover or contain a comprehensive list of activities, duties or responsibilities required for this job. Examples of Skills & Abilities •Operates common office machines; •Operates personal computers and related software including word processing and spreadsheet; •Maintains records according to prescribed standards; •Prepares documents according to prescribed standards; •Organizes resources and establish priorities; •Communicates verbally and in writing;•Follows verbal and written instructions; •Maintains records and drafts correspondence according to prescribed standards; •Operates web-based database systems;•Establishes effective working relationships with citizens, fellow employees, and supervisors.Qualifications The knowledge, skills, and abilities are acquired through a combination of education and experience equivalent to a High School diploma plus 2 years’ experience in office support, clerical, or reception. Associates degree in Business or Office Technology is preferred. Special RequirementsMust have a valid driver’s license.Physical DemandsDuties are generally performed in an office setting where hazards and discomforts are controlled and modifiable. This position requires the ability to bend at the waist, kneel, reach over the head, talk, hear, and see. Position requires knowledge and use of typical office equipment including telephone and personal computer. Must be able to move or lift materials weighing up to 30 pounds.
