Job Summary
The Office Assistant provides administrative and operational support for hiring, onboarding, employee records, compliance, training, and payroll‑related processes. This role works closely with field locations, HR, payroll, IT, and third‑party vendors to ensure employee data is accurate, compliant, and processed in a timely manner. The Office Assistant plays a key role in maintaining smooth workforce operations in a fast‑paced environment.
Key Responsibilities
Process manpower hiring requests from field sites using Workday
Complete I‑9 verification and onboarding through Fountain, including Phase 2 and deployment instructions
Set up employees for pre‑employment, probable cause, post‑accident, and DOT (CDL hiring) drug screens
Run background checks for new hires using DISA
Schedule random drug screens through DISA
Manage DISA rosters and code DISA invoices accurately
Process MVR reports for approved drivers through TrueScreen
Support CDL hiring and compliance documentation
Coordinate training setup for new hires and current employees, including BSLN, TRMA, HASC, and ISN
Manage supervisory organization updates in Workday
Upload documentation related to employee changes, and maintain accurate employee records
Submit IT tickets for system or integration issues
Update craft positions and employee information within Workday
Enter and process employee terminations
Process pay rate changes, including promotions, decreases, and shift differentials
Pull pay rates and process terminations in J&E
Update tax elections and set up payroll deductions
Run and review payroll audit reports to resolve payroll rejections or employee master issues
Process check requests as needed
Track IDPH renewals and required license trainings for employees
Order office supplies and FedEx labels
Support miscellaneous administrative and clerical requests as assigned
Qualifications
Bilingual in English and Spanish required.
Strong verbal and written communication skills
Strong organizational skills with attention to detail
Proficiency with Microsoft Word, Microsoft Excel, and Adobe PDF
Ability to manage multiple priorities and handle confidential information appropriately
Experience with Workday HRIS highly preferred
