Cottonwood Elementary School Deputy Clerk of the District in Havre, Montana

Position Summary: The Deputy Clerk assists in various administrative and clerical duties to ensure the efficient operation of the office. This role supports the Clerk and other staff in managing office functions and responsibilities, maintaining records, and providing excellent service to the community. Key Responsibilities: 1. Administrative Support: • Assist the Clerk with daily administrative tasks and projects as needed. • Prepare and organize documents, reports, and correspondence. • Handle incoming calls and inquiries, directing them to appropriate parties as necessary. 2. Record Management: • Maintain and update files and records, both electronic and paper-based, ensuring accuracy and confidentiality. • Assist in the preparation and filing of official documents as required by local laws and regulations. 3. Customer Service: • Greet and assist visitors to the office, providing information and support in a friendly and professional manner. • Respond to public inquiries and requests for information promptly and courteously. 4. Financial Duties: • Assist in managing financial records, including handling payments, invoicing, and receipts. • Support the Clerk with budget tracking and financial reporting. 5. Collaboration and Communication: • Work closely with the Clerk and other staff members to enhance office operations. • Communicate effectively with internal teams and external stakeholders. 6. Compliance and Procedures: • Ensure compliance with state and local regulations related to clerical duties. • Help implement and maintain departmental policies and procedures. Qualifications: • US Citizen • Valid Montana Driver's License • Strong organizational skills and attention to detail. • Proficient in Microsoft Office Suite and familiar with office equipment. • Excellent verbal and written communication abilities. • Previous experience in an administrative or clerical role preferred. • Ability to handle multiple tasks and meet deadlines in a fast-paced environment. • A high level of professionalism and a commitment to confidentiality. Education: • High school diploma or equivalent required Working Conditions: • Office environment with standard working hours, may require occasional overtime based on office demands. PHYSICAL DEMANDS: While performing the duties of this job, the employee is frequently required to sit; occasionally walk and stand; twist at neck and waist; kneel. Specific vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus. The employee is required to be able to hear conversations in quiet environments. May be required to lift or move up to 20 pounds.
