Employment Term: This is a full-time, FLSA Non-Exempt position in the Continuing Education Division that reports to the Vice President of Economic Development.

Salary : $43,160/yr

Schedule: Monday – Thursday 8am – 5pm and Friday 8am -4pm. This position is located on the Lawrenceville Campus but may occasionally work at the Alpharetta location.

Minimum Qualifications (Job Code 61804): Associate’s degree in Business Administrative Technology and One (1) year of work related experience OR High school diploma and Two (2) years related work experience

Preferred Qualifications:

In addition to the minimum qualifications, some college level coursework and experience as a receptionist are preferred. Willing to adjust hours during peak times. Current work experience in Continuing Education Division at GTC.

Job Description Summary:

Under general supervision, operates a multi-line telephone and greets visitors. Performs clerical duties such as data entry, filing, and receipt of registration payments. Assists customers with the registration process. Effectively communicates with all non-English speaking customers.

Duties/ Responsibilities

Operates a multi-line telephone console for a technical college in order to relay incoming calls.

1. Answers the telephone in a courteous and timely manner. 2. Attentively listens and notes callers' questions and requests.
  1. Uses sound judgment and knowledge of the technical college, operations and procedures to appropriately respond to callers' questions and requests.

    4. Records messages accurately and legibly according to established practices. 5. Forwards messages to appropriate parties in a timely manner.

Greets and directs guests visiting the technical college.

1. Acknowledges and responds to all guests in a timely and courteous manner. 2. Maintains a calm and professional demeanor at all times.
  1. Determines the nature of the business and assists guests accordingly by providing appropriate information or directing guests to other personnel. Facilitates miscellaneous requests.

Prepares mail for delivery and sends outgoing documents and other materials.

  1. Prepares and sends outgoing documents and other materials according to established guidelines or as instructed.

  2. Prepares, sends and/or relays in a timely manner communications such as faxes and e-mail, according to applicable guidelines and formats.

Performs clerical duties such as filing, data entry, receipt of registration payments and prepare refund forms.

  1. Properly files documentation in course files. Observes all confidentiality requirements. Prepares files for disposal according to state rules and regulations.
