Role Summary

As an Administrative Assistant, you will serve as a strategic partner to the Marketing Head and the regional Central American team. This role is critical for ensuring the seamless operation of the department by providing high-level, confidential, and proactive support. You will manage complex logistics and administrative workflows, acting as the "engine" that allows the regional marketing team to stay focused on achieving business goals.

Responsibilities

  • Executive Support: Manage the Marketing Director’s calendar and daily priorities, ensuring all tasks and follow-ups are executed with precision.

  • Financial Administration: Oversee the end-to-end procurement process, including purchase order creation, supplier payments, and meticulous monthly expense tracking.

  • Event & Meeting Management: Lead logistics for Budget Reviews, country visits, and high-level internal meetings, ensuring agendas and materials are prepared in advance.

  • Regional Travel Logistics: Coordinate comprehensive international travel itineraries for executives, including bookings, transfers, and expense reconciliation.

  • Operational Excellence: Proactively identify and implement ways to streamline administrative workflows to enhance the team’s overall productivity.

  • Information Management: Efficiently process, synthesize, and organize high volumes of data from various stakeholders to ensure clear communication and informed decision-making.

Required Qualifications

  • Education: Bachelor’s degree in Business Administration, Marketing, or a related field (final-year students will be considered).

  • Experience: Proven experience in administrative or executive support roles, ideally within a multinational or marketing environment.

  • Languages: Advanced English proficiency (both written and verbal) is essential for regional communication.

  • Technical Skills: Expert-level command ofGoogle Workspace (Drive, Docs, Sheets, and especially Slides).

  • Technical Tools: Familiarity or experience with SAP for financial and procurement processes.

  • Soft Skills: Exceptional organizational abilities and the capacity to manage multiple stakeholders in a fast-paced environment.

  • Analytical Ability: Strong skills in processing complex information and a high degree of discretion when handling confidential data.
