Position Summary:

The Facility Management Assistant’s function is to coordinate the office services and related activities for the Facilities Department as well as to provide secretarial support.

What the Facilities Management Assistant will need:

Education

  • Minimum: Associate’s degree or equivalent experience.

Related Experience

  • Minimum: One to two years secretarial experience

Other Knowledge, Skills, and Abilities

  • Minimum: Experience in the use of Microsoft Word, Excel, CAMMP, Print Shop, and Power Point.

  • Typing skills of 45 – 60 wpm.

  • Ability to handle interruptions throughout the workday.

  • Ability to receive customer requests and complaints that can be numerous at times and respond in a way that is kind and courteous to the customer.

What the Facilities Management Assistant will do:

  • Maintains established departmental policies and procedures, objectives, quality assurance program, safety, environmental and infection control standards.

  • Prepares staffing work schedules for and maintains Maintenance on-call schedule. Maintains bulletin boards, communication books and employee files for the Facilities Department.

  • Receives, assigns, and generates Maintenance work orders.

  • Receives daily calls for Facilities and the Lost and Found.

  • Codes all invoices to the proper cost center, approves, and returns to Accts Payable for payment. Reconciles credit card statement monthly and codes to appropriate department cost center. Orders office supplies.

  • Schedules both room reservation/setup and audio-visual equipment for hospital departments and outside agencies. Prepares daily calendars of events and posts throughout the hospital.
