Job Purpose Summary
The Inventory and Documentation Coordinator is responsible for coordinating incoming materials, maintaining appropriate inventory levels to support production, and providing documentation and administrative support across the site. This role partners closely with Production, Quality, and external vendors to ensure materials availability, accurate documentation, and uninterrupted day-to-day operations.
What you will do
Inventory Management
• Maintain accurate inventory records, reporting, and scheduling of future material orders.
• Create, update, and adjust purchase orders to support production and operational needs.
• Monitor warehouse stock levels and place orders at optimal quantities to balance cost control and space constraints.
• Receive incoming equipment and materials and accurately log transactions in the ERP system (D365).
• Maintain current item revisions, drawings, and pricing information.
• Aim to reduce material purchase price.
• Build and sustain effective, collaborative relationships with suppliers and vendors.
• Research and identify secondary or alternative sources to support current and future production requirements.
Documentation Support
• Partner with Production and Quality Subject Matter Experts (SMEs) to revise and maintain controlled documentation.
• Create and update user manuals, job aids, work instructions, and procedures to support product and process understanding.
• Edit documentation for clarity, accuracy, and consistency without altering technical intent.
• Collaborate with SMEs to develop a thorough understanding of documented processes and requirements.
• Route documentation through change management and approval workflows to support and justify revisions.
• Coordinate training and communication related to document updates and revisions.
General Office & Administrative Support
• Serve as a trained backup for select Office Manager and Materials Management Supervisor responsibilities to ensure continuity during absences.
• Answer and route incoming phone calls as needed.
• Coordinate maintenance and service for office equipment, including copiers, printers, fax machines, and telephone systems.
• Provide general administrative support and assistance to team members as needed.
• Perform additional administrative duties as assigned to support overall business operations.
What you will need
• High School Diploma or equivalent required.
• 2–4 years of experience in inventory coordination, materials management, documentation support, or administrative operations.
• Experience working in a regulated environment (manufacturing, medical devices, FDA/ISO preferred).
• ERP experience required; Microsoft Dynamics 365 (D365) strongly preferred.
• Proficiency in Microsoft Office (Excel, Word, Outlook).
• Experience working cross-functionally with Production, Quality, and external vendors.
• Ability to manage multiple priorities in a fast-paced operational environment.
