General Summary
Under general direction, provides high-level administrative support to Company Officer(s) within the Information Technology organization. The Administrative Assistant enables effective day-to-day operations by managing scheduling, communications, and administrative processes while exercising sound judgment, discretion, and professionalism.
Duties & Responsibilities: What major responsibilities does this position have and what percentage of time is spent on completing them? (Typically 5 – 7)
With minimal supervision, provide overall administrative and staff support for IT Officer(s) including maintaining calendars; screening calls and emails; scheduling meetings; coordinating agendas and meeting materials; preparing correspondence and documents; and generating routine and ad hoc reports. 45%
Provides email assistance and administrative support, including maintaining distribution lists, monitoring communications as directed, and assisting with information flow to appropriate stakeholders. 20%
May assist with the preparation, maintenance, and control of records, reports, and information related to operations, personnel activity, organizational changes, and leadership communications. 5%
With minimal supervision, administers moderately complex administrative programs and processes for the operating unit, including coordination of leadership meetings, quarterly business reviews, departmental forums, and serving as an administrative liaison with internal and external partners on purchasing, personnel processes, facilities, and vendor or visitor onsite logistics. 20%
Coordinates travel arrangements, including flights, hotels, rental cars, itineraries, and expense processing, while supporting changes and expense reconciliation in accordance with Company guidelines. 5%
Monitors monthly expenses and supports tracking of departmental budget activity in coordination with leadership and finance partners. 5%

Knowledge, Skills and Abilities (KSAs): What KSAs are required to perform this job?

Applies advanced knowledge of Microsoft Office and collaboration tools.
Ability to communicate effectively with Senior Management and various departments throughout the Company. (written and oral)
Demonstrates the ability to organize, prioritize, and manage multiple moderately complex tasks in a fast-paced, deadline-driven environment
Handles confidential and sensitive matters with discretion and sound judgment.
Work Experience &/or Education: What are the minimum education and/or experience requirements necessary to perform this job?
- High school diploma and minimum of two years of executive administrative or secretarial experience supporting senior level officers preferred.
