Summary The Program Support Assistant provides support for the Administrative Officer in the Surgical Service, having responsibility for planning, implementing, and evaluating administrative and technical support for multiple sections within Surgical Service. The Program Support Assistant serves as the service's liaison to Medical Administration Service, Finance/Payroll, Human Resources, Police Services, Clinical Informatics, Environmental Management Service, and other Services. Responsibilities The Program Support Assistant provides support for the Administrative Officer in the Surgical Service. Duties include but are not limited to: Provides excellent customer service to internal and external customers Provides timekeeping and clerical support to the service Scheduling and coordinating appointments for section chiefs and directors as requested Acts as the Records Liaison Manager for assigned clinical sections In processing and termination for assigned house staff at the beginning and end of each academic year Acts as Information Manager for assigned clinical sections Manages clinic profiles for assigned clinical sections Incumbent serves as Personal Identity Verification (PIV) manager for Surgical Service Work Schedule: 8:00am to 4:30pm, Monday through Friday Position Description/PD#: Program Support Assistant (OA)/PD05907A Relocation/Recruitment Incentives: Not Authorized Requirements Conditions of Employment You must be a U.S. Citizen to apply for this job Selective Service Registration is required for males born after 12/31/1959 Subject to background/security investigation Selected applicants will be required to complete an online onboarding process. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/16/2026. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Plans, implements, and evaluates administrative and technical support for multiple clinical sections. Plans, develops and executes a system for providing required reports for assigned clinical sections. Provides clerical support for the assigned clinical sections. Provides timekeeping for assigned clinical section. Clerical experience working in a medical office. Note: Evidence of specialized experience must be supported by detailed documentation of duties performed in positions held on your resume. You must provide work experience information such as hours per week, salary, and starting/ending dates of employment (month and year format) to establish you have one (1) full year of Specialized Experience directly related to the occupation. OR Substitution of Education for Experience (TRANSCRIPTS REQUIRED): Successful completion of Four (4) years above high school or a Bachelor's Degree. OR Combination of Education and Experience (TRANSCRIPTS REQUIRED): Equivalent combinations of successfully completed post high school education and specialized experience directly related to the work of the Program Support Assistant position, which may be substituted to meet the experience requirements for this position. NOTE: Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. You will be rated on the following Competencies for this position: Clerical Customer Service Organizational Awareness Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is usually sedentary, but it typically requires walking, standing and bending, and may require carry of light items such as books, papers, instruments, lap tops, and other similar materials. Work Environment: The work is normally conducted in an office setting, and is adequately lighted, heated, cooled, and ventilated. Some travel may be required within the health care system, locally and nationally. Typically, the work place is hazard-free, not requiring any special clothing or equipment.
