The Production Administrative Assistant provides critical administrative and operational support to the production team by managing documentation, organizing data, and coordinating with multiple departments. This role suits a hands-on, motivated individual who enjoys wearing multiple hats, contributing to continuous improvement, and building a long-term growth path within operations and production support.
Responsibilities
Print, organize, and distribute purchase orders and production-related documents to ensure accurate and timely information flow.
Support job variance review by assisting with the investigation and vetting of discrepancies in production jobs.
Track job labor and assist with labor collection and reporting to support accurate production and cost analysis.
Maintain and update Standard Operating Procedures (SOPs) to keep processes current and clearly documented.
Use Excel and Microsoft Office to sort, analyze, and organize production data for reporting and decision-making.
Assist the Production Manager with a wide range of administrative and operational tasks as assigned.
Support continuous improvement initiatives by helping document processes and identify opportunities for efficiency.
Collaborate closely with production, inventory, purchasing, and other departments to support smooth operations.
Perform data entry and administrative tasks with high accuracy and attention to detail.
Provide responsive and professional customer service to internal stakeholders and team members.
Step in to assist with various tasks as needed, demonstrating flexibility and adaptability in a fast-paced environment.
Essential Skills
Proven administrative support experience in an office or production environment.
Strong Microsoft Office skills, with proficiency in Excel including pivot tables.
Ability to sort, analyze, and organize data using Microsoft Excel and other Microsoft products.
High attention to detail and strong organizational skills.
Ability to manage multiple tasks and shifting priorities effectively.
Willingness to learn and take on new responsibilities across different functions.
Strong communication skills and a team-first mindset.
Comfort working in a production-focused environment with cross-functional partners.
Accurate data entry skills and the ability to maintain organized records.
Additional Skills & Qualifications
Experience working with production, inventory, purchasing, or similar operational departments.
Background in customer service, with the ability to support internal and external stakeholders professionally.
Demonstrated ability to thrive in a role that requires wearing multiple hats and stepping into different tasks as needed.

Work Environment
This is an onsite role with the potential to transition to a hybrid schedule after approximately six months, based on performance and leadership approval. You will initially work in a cubicle environment and, over time, move into a private office as the role grows. The position operates in a professional office setting within a production-oriented organization, using Microsoft Office tools extensively, especially Excel, for daily work. This is a Contract to Hire position based out of Franklin, WI.
Pay and Benefits
The pay range for this position is $22.00 - $25.00/hr.
