SCRAM Systems Marketing Events Intern in Frankfort, Kentucky
We are looking for an Events Marketing Intern who is organized, detail oriented, and ready to do the real work of keeping our events function running smoothly. You will work closely with our marketing and business development teams to support logistics, maintain our materials and tracking systems, and help ensure every event reflects the LifeSafer brand. This internship has a clear path to a full time role for the right person.
We are looking for candidates who have recently graduated or are on track to graduate by May 2026.
ESSENTIAL FUNCTIONS AND DUTIES
Event Coordination and Logistics Support
Assist with the coordination and preparation of assigned events from initial logistics through on site support and post event follow up.
Assist with logistics coordination for assigned events including vendor communication, materials preparation, and shipping tracking
Maintain event project timelines in Asana, keeping task lists and deadlines up to date as directed
Track the status of pre event deliverables and flag any items at risk of missing deadlines to the marketing team
Assist with on site execution where applicable, including setup support and day of logistics
Compile post event notes and expense summaries for team debrief and review
Collateral and Materials Management
Help ensure LifeSafer event materials are organized, current, and ready to go for every event.
Maintain the event collateral inventory, tracking what is on hand and flagging items that need to be reordered or updated
Assist with fulfillment and shipping of event materials, ensuring the right assets reach the right location on time
Coordinate with the creative team on production requests for event specific materials as directed
Ensure all collateral is accurate, on brand, and accounted for before each event
Administrative and Cross Functional Support
Support communication and coordination across the teams involved in event execution, keeping shared resources accurate and up to date.
Assist the marketing team with pre event preparation, including logistics checklists and stakeholder communication support
Help track and log event related lead and activity data in HubSpot following each event
Maintain organized records of vendor contacts, timelines, and event documentation for team reference
Support internal communication around event logistics by keeping shared documents and trackers current
Required Qualifications
Recently graduated or on track to graduate by May 2026 with a Bachelor's degree in Marketing, Communications, Event Management, Hospitality, or a related field
1 to 2 years of experience coordinating events, whether in a professional, internship, or campus or volunteer capacity
Demonstrated ability to manage multiple deadlines and logistics details simultaneously without losing accuracy
Strong written and verbal communication skills, able to correspond professionally with vendors, teammates, and stakeholders
Experience maintaining project tracking tools, shared documents, or event management systems
Proficiency with Google Workspace or Microsoft Office
Comfortable in a remote work environment with the ability to stay organized and independently responsive
Willingness to travel as needed to support on site event execution
Preferred Skills
Experience with Asana or a comparable project management platform
Familiarity with HubSpot or another CRM tool
Experience supporting B2B events, trade shows, or partner conferences
Comfortable working across multiple teams and communicating proactively with both peers and leadership
