MUST HAVE QUALIFICATIONS:
5+ years of experience in union construction payroll (construction industry experience required; other industries do not substitute).
3+ years of experience in a supervisory or lead payroll role overseeing payroll staff.
Strong working knowledge of collective bargaining agreements (CBAs), prevailing wage requirements, and certified payroll reporting.
Proven experience processing multi-state payroll for union construction employees.
Demonstrated experience with multi-craft and multi-local union benefit reporting and trust fund requirements.
Strong understanding of federal, state, and local payroll tax regulations, including payroll tax withholding and unemployment insurance.
Job Description
The Union Payroll Supervisor oversees all aspects of union payroll and timekeeping for a growing union construction organization. This role maintains, optimizes, and supports payroll systems to ensure accuracy, efficiency, and full compliance with collective bargaining agreements and federal, state, and local regulations. The supervisor leads a small payroll team, drives process improvements, and manages complex union benefit and tax reporting across multiple unions and states.
Responsibilities
Maintain, optimize, and support payroll and timekeeping systems to ensure accurate, efficient, and compliant payroll processing.
Coordinate, process, and report company payroll in accordance with multiple collective bargaining agreements and all applicable federal, state, and local regulations.
Interpret and accurately apply collective bargaining agreements (CBAs) across multiple unions, including multi-craft and multi-local arrangements.
Support union setup and configuration within construction-specific ERP systems, including Track, and ensure accurate data flow between payroll and accounting.
Oversee union benefit contributions, including fringes, dues, and other required payments, and ensure accurate reporting to multiple union trust funds.
Manage and respond to union audits, government audits, and internal payroll reviews, providing accurate documentation and timely responses.
Ensure accurate and timely administration, reconciliation, and reporting of union fringe benefits and related obligations.
Oversee payroll tax withholdings and unemployment insurance payments in compliance with federal, state, and local tax regulations.
Coordinate year-end payroll activities, including preparation, verification, and distribution of W-2s and filing of W-3s.
Identify, recommend, and implement process improvements to streamline payroll operations, enhance internal controls, and reduce risk.
Supervise and collaborate with 1–3 payroll team members, providing guidance on union benefits, tax, and CBA application while fostering a team-first, collaborative culture.
Monitor payroll transactions within an integrated, automated payroll and accounting system to ensure accurate transaction flow and timely issue resolution.
Maintain strict confidentiality and discretion when handling highly sensitive payroll and employee information.
Use advanced Excel skills, including pivot tables, to analyze payroll data, prepare reports, and support decision-making.
Prioritize and manage multiple deadlines in a fast-paced environment, ensuring timely and accurate payroll cycles and reporting.
Essential Skills
Advanced proficiency in Microsoft Excel, including pivot tables, and strong skills in Microsoft Word.
Hands-on experience with construction-specific ERP systems, including Track or similar platforms.
Strong understanding of transaction flow within an integrated, automated payroll and accounting system.
Ability to handle highly sensitive and confidential information with discretion and professionalism.
Excellent problem-solving and judgment skills, with strong attention to detail and accuracy.
High level of organization, with the ability to manage multiple priorities and work effectively under pressure in a deadline-driven environment.
Collaborative, team-first mindset with a willingness to partner closely with colleagues and support a high-performance culture.

Job Type & Location
This is a Contract to Hire position based out of Frankfort, IL.
Pay and Benefits
The pay range for this position is $38.46 - $43.23/hr.
