The Operations Specialist would provide essential administrative, logistical, and operational support to ensure the smooth functioning of primary care provider operations across multiple states. This role supports Regional Directors of Clinical Operations (RDCOs), Clinical Leaders, and frontline Nurse Practitioners by maintaining workflows, coordinating communication, tracking performance metrics, and ensuring field teams have the tools, information, and resources necessary to operate efficiently. The Operations Specialist serves as the operational backbone for regional leaders, reducing administrative burden and strengthening overall provider performance. Responsibilities Serve as a primary operational support contact for providers, Clinical Leaders, and RDCOs. Maintain provider territory assignments, facility lists, and schedule-related workflows. Assist in coordinating provider transitions, new facility launches, and territory changes. Maintain and update operational trackers, dashboards, and performance logs. Support weekly Territory Management meetings by preparing summaries, updates, and follow-up tasks. Identify recurring operational issues and escalate to the Operations Manager or RDCOs. Ensure consistency of field operations workflows across multiple states. Maintain strong communication loops with field teams, RAMs, Clinical Leaders, Education, Quality, and Informatics. Participate in operational meetings and document action items. Organize, document, and maintain operational resources and reference materials. Support field-based projects, pilots, and process improvement initiatives. Ensure accuracy and consistency across provider and facility documentation. Assist in preparing reports and materials for Quarterly Clinical Business Meetings. Track provider KPIs, including productivity, documentation timeliness, and RTH-related trends. Update dashboards, spreadsheets, and reporting tools for leadership review. Identify data inconsistencies or gaps and escalate as needed. Other duties and tasks may be assigned as appropriate or necessary. Qualifications Skills and Specifications Strong organizational and multi-tasking abilities. Excellent communication and relationship-building skills. Proficiency in Microsoft Office (Excel, Word, Outlook) and workflow tracking tools. Ability to interpret basic performance data and operational trends. High attention to detail with strong follow-through. Comfortable working in a fast-paced, multi-state environment. Ability to support cross-functional teams and manage competing priorities. Education and Qualifications High school diploma required. Associate?s or Bachelor?s degree in Healthcare Administration, Business, or a related field preferred; equivalent experience considered. 1-3 years of experience in healthcare operations, provider support, administrative coordination, or similar role.
