Actalent Engineering Project Coordinator in Fountain Valley, California
Hiring: Technical Administrative Project Coordinator
On‑Site | Fountain Valley, CA | Full‑Time
This role is for someone who lives in the details.
If you’re known as the person who catches errors others miss, cleans up complex documents before they go out the door, and keeps technical teams organized without being asked twice — keep reading.
About the Role
We’re hiring a Technical Administrative Project Coordinator to support engineering project managers in a document‑heavy, accuracy‑critical environment.
This is not a general admin, receptionist, accounting, or marketing role.
It’s a technical administrative position where precision, formatting, and document quality matter just as much as organization.
You’ll work closely with engineers and senior leaders to ensure that reports, proposals, RFIs, and technical documents are polished, correct, and client‑ready.
What You’ll Be Doing
Technical Documentation & Quality Control (Primary Focus)
Format, edit, and quality‑check technical documents including RFIs, change orders, proposals, reports, memos, and correspondence
Catch grammar, formatting, version‑control, and reference errors before documents are submitted
Assemble and QA large, complex PDF packages (Bluebeam)
Clean up drafts provided by engineers and leadership to a professional, client‑ready standard
Assist with scope documentation occasionally after ramp‑up
Project Coordination & Multi‑PM Support
Support multiple project managers simultaneously
Track deadlines, deliverables, and document workflows
Maintain organized digital and physical project files
Administrative & Scheduling Support
Prepare and maintain a detailed monthly company calendar
Support project schedules using Microsoft Project as timelines grow more complex
Provide calendar, meeting, and documentation support to senior leadership
Required Skills (Non‑Negotiable)
Exceptional administrative sharpness (formatting, grammar, QA/QC, attention to detail)
Bluebeam proficiency (assembling and quality‑checking large technical PDFs)
Microsoft Office (intermediate to advanced):
Word (heavy formatting)
PowerPoint
Excel
Microsoft Project
Comfort working with engineering language and technical documentation
Construction or AEC administrative backgrounds are welcome if you are strong in technical documentation and formatting.
Accounting‑heavy backgrounds are not a fit for this role.
Experience We’re Looking For
Prior experience in an engineering, construction, or AEC environment
Hands‑on experience with technical documents (RFIs, change orders, proposals, reports, memos)
Experience supporting multiple project managers
Strong comfort working with detail‑driven, deadline‑oriented teams
No engineering degree required — experience and precision matter more than titles.
You’ll Be a Strong Fit If You:
Are known for being “super sharp” administratively
Enjoy cleaning up messy documents and making them right
Don’t miss small details
Are proactive and don’t wait to be told what needs fixing
Are comfortable supporting engineers and senior leadership
Prefer structured, professional environments where accuracy matters
Why This Role Matters
This position plays a key role in keeping engineering projects moving. With a long‑tenured team member retiring soon, we’re looking for someone who can step in quickly and help maintain high standards across technical documentation and project coordination.
