  • Pay: $ 21.01/hr-$32.00/hr

  • Shift/Hours: Onsite – Monday – Friday (regular business hours)

The Buyback Asset Recovery – Administrative & Billing Support role is responsible for providing essential administrative, billing, and tracking support for buyback-related factory recoveries, vehicle asset tracking, and financial reconciliation activities. This position requires strong accuracy, organization, and follow-through, ensuring all documentation, data, and submissions are handled according to established processes and internal guidelines. The role operates under structured procedures and works closely with internal teams to ensure timely and accurate completion of responsibilities.

Key Responsibilities

Administrative & Recovery Claims Support

  • Prepare, submit, and track factory recovery claims related to buybacks, campaigns, and recalls.

  • Collect, organize, and upload required documents from internal systems; ensure files are complete and properly redacted.

  • Upload recovery documentation to designated FTP/shared platforms and monitor progress until completion.

  • Verify accuracy of billed and recovered amounts before submission.

  • Maintain organized and audit-ready records in alignment with retention policies.

Payment Request Support

  • Assist with check request preparation and payment approval workflows.

  • Monitor payment status and follow up on aged, outstanding, or revised items.

  • Research unpaid or voided checks and coordinate corrections or reissuance.

Vehicle & Asset Tracking

  • Update and maintain logs for vehicles and assets, including buyback status, auction proceeds, expenses, and mailing dates.

  • Enter and validate data in tracking systems as needed.

  • Follow up with vendors and internal teams to resolve missing or incomplete information.

Reporting & Data Accuracy

  • Validate recovery reports by cross-checking VINs, claim details, and supporting documents.

  • Support recurring and ad-hoc reporting needs.

  • Maintain logs for submissions, resubmissions, voids, reissues, and recoveries.

Required Qualifications

  • High school diploma or equivalent.

  • 2–4 years of administrative, billing, or financial operations experience.

  • Intermediate proficiency in Microsoft Office, with strong emphasis on Excel.

  • Strong attention to detail and accuracy.

  • Ability to manage multiple routine tasks and meet deadlines consistently.

Preferred Qualifications

  • Experience in buyback, warranty, asset recovery, billing, or finance operations.

  • At least 1 year of experience with data analysis, QMF, or SQL.

  • Automotive industry experience.

Pay Details: $21.01 to $32.00 per hour
