Back Office Service Specialist
Location: Eygelshoven
As a Back Office Service Specialist you play an important role in supporting the daily operations of the Automation Service organization. You ensure that all service-related administrative processes run smoothly and that Field Service Engineers are supported in their day-to-day activities.
You work closely with the Field Service team, service planners and other internal departments to ensure that service activities are properly prepared, executed and followed up. Your work includes processing service orders, preparing quotations, coordinating invoicing and monitoring service performance through reporting and analysis.
In this role you are an important link between the service organization, internal stakeholders and third-party service providers. You help maintain a structured and efficient service process and actively contribute to improving procedures and workflows within the service department.
You will also work closely with the Field Service Supervisor and support the daily operational management of the service organization.
What will you do
Coordinate daily back-office service activities for the Automation Service team
Support Field Service Engineers with administrative and operational service tasks
Prepare service quotations and process approved quotations into service work orders in SAP
Ensure timely and accurate invoicing of service activities such as training, hotline support and maintenance visits
Monitor service performance through reports and data analysis
Identify operational bottlenecks and support improvements within the service organization
Maintain and improve procedures, work instructions and checklists for service operations
Maintain professional relationships with third-party service providers
Support the Field Service Supervisor and act as backup where required
Ensure the service hotline remains operational and properly coordinated
Profile
3–5 years of experience in a service or technical support environment
Experience with service administration or service contract management is preferred
Experience working with SAP or similar ERP systems
Strong organizational and coordination skills
Good communication skills in English and Dutch or German
Comfortable working in an operational and fast-paced service environment
Structured, proactive and solution-oriented mindset
