Kimberly Casey with Robert Half has an exclusive search for an Accounts Payable/Payroll Clerk. This opportunity is for a well-established construction company with multiple entities and continues to grow. The Accounts Payable & Payroll Clerk reports to the Accounting/HR Manager and will work in an open office environment.

This role is 100% In-Office and does not offer remote or hybrid work options.

Position Summary

The Accounts Payable & Payroll Clerk plays a key support role within the Accounting and HR functions, responsible for accurate and timely processing of accounts payable and payroll activities directly within QuickBooks. This role supports a fast‑paced, hands‑on office environment and is ideal for someone who is detail‑oriented, service‑minded, and comfortable working across multiple accounting functions. Payroll for the organization is processed internally within QuickBooks (Desktop and Online) and not through a third‑party provider, making a working knowledge of QuickBooks essential.

Key Responsibilities

Accounts Payable

  • Perform high‑volume data entry for accounts payable, including invoices from a core group of recurring vendors

  • Maintain accurate vendor records and reconcile vendor statements

  • Assist with account reconciliations and resolve discrepancies in a timely manner

  • Ensure AP documentation is complete, accurate, and compliant with internal controls

Payroll Support

  • Support payroll data entry and processing directly within QuickBooks for multiple payroll schedules (weekly, bi‑weekly, and semi‑monthly)

  • Assist with payroll that runs continuously throughout the month in a non‑union environment

  • Support certified payroll reporting as required (exposure a plus, not required)

  • Maintain payroll records and assist with payroll‑related audits or inquiries

General Accounting & Administrative Support

  • Assist in other accounting areas as business needs arise

  • Work within QuickBooks Desktop and QuickBooks Online to support AP, payroll, and general ledger functions

  • Provide exceptional internal and external customer service, including assisting with phone coverage from the desk when needed

  • Collaborate closely with the Accounting/HR Manager and accounting team to support day‑to‑day operations

Requirements

Qualifications & Experience

  • Prior experience in Accounts Payable and payroll support

  • Working knowledge of QuickBooks Desktop and QuickBooks Online required

  • Experience supporting payroll processed internally within an accounting system (not outsourced)

  • Strong attention to detail, organization, and accuracy

  • Ability to manage multiple priorities in a fast‑paced, 100% in‑office environment

  • Reliable attendance and availability during regular business hours

  • Professional, customer‑service‑focused communication skills
