Actalent Assistant Project Manager in Ellicott City, Maryland

Job Title: Assistant Project ManagerJob Description

The Assistant Project Manager supports the successful delivery of construction projects by helping ensure they are completed on time, within scope, and within budget. This role works closely with the project manager, estimating staff, clients, and subcontractors to coordinate project activities, manage documentation, and maintain high standards of quality, safety, and client satisfaction across a wide range of commercial construction projects.

Responsibilities

  • Assist the project manager in delivering construction projects on time, within budget, and in accordance with project requirements.

  • Help plan construction operations and schedule intermediate phases to ensure project milestones and deadlines are met.

  • Collaborate with estimating staff to develop bids, participate in project interviews, respond to client questions, and follow up on outstanding bids.

  • Support multiple construction projects from start to completion, providing day-to-day administrative and coordination support.

  • Attend weekly progress meetings, document discussions, and prepare and distribute accurate meeting minutes.

  • Develop a thorough understanding of project details, scope, specifications, and critical requirements.

  • Communicate clearly and professionally with clients, subcontractors, vendors, and internal team members.

  • Visit project sites as needed, including prior to bid submission, to better understand project conditions and requirements.

  • Anticipate potential project issues and proactively work with the team to avoid or resolve them.

  • Prepare subcontracts and purchase orders, reviewing them for completeness, accuracy, and alignment with project requirements.

  • Identify and track long lead time items on the project critical path to help prevent schedule delays.

  • Prepare and process contract change orders for owners and subcontractors as needed.

  • Manage and maintain project files, ensuring accurate and organized documentation and document control.

  • Ensure vendor and subcontractor files remain up to date with required information and documentation.

  • Support day-to-day project administration activities, including processing submittals, adjusting schedules, assisting with contract documents, executing contracts, and coordinating communication with customers and subcontractors.

  • Help maintain and update the subcontractor and vendor bid list for future project opportunities.

  • Continually seek opportunities to increase client satisfaction and deepen client relationships through responsive and reliable support.

  • Ensure adherence to all health and safety standards on projects and promptly report any issues or concerns.

Essential Skills

  • Experience or strong interest in project management and project coordination within commercial construction.

  • Knowledge of construction industry standards, building codes, equipment, construction methods, and contracts.

  • Ability to assist with estimating activities, including working with estimating staff to develop bids.

  • Understanding of change order processes and documentation for owners and subcontractors.

  • Familiarity with general contractor operations, subcontractor management, and vendor coordination.

  • Experience with document control, including file preparation, maintenance, and tracking of project documentation.

  • Strong presentation, verbal, and written communication skills.

  • Effective problem-solving abilities and sound financial awareness related to project costs and budgets.

  • Demonstrated leadership potential and the ability to take initiative in a team environment.

  • Ability to maintain composure, professionalism, and objectivity in difficult situations and effectively resolve conflicts.

  • Proficiency with Microsoft Office and the ability to learn new software tools based on project requirements.

  • Ability to pass a government background check to work on military bases and in government facilities.

  • Valid driver’s license.

Additional Skills & Qualifications

  • High school diploma or equivalent required; college degree preferred.

  • Knowledge or experience in mechanical aspects of construction is beneficial.

  • Experience working with or for a general contractor is a plus.

  • Experience in project engineering or related construction support roles is advantageous.

  • Familiarity with construction-specific software is a plus.

  • Strong client service mindset with a focus on building and maintaining long-term relationships.

  • Ability to work collaboratively within a small, close-knit project management team.

Work Environment

This is a full-time, office-based role working alongside the project management and executive team in a collaborative environment. The Assistant Project Manager works closely with colleagues in a small, supportive team that values each individual’s contribution and offers strong growth potential. The role involves regular use of computers, Microsoft Office, and construction-related software, as well as handling project documentation and coordination tasks. Occasional travel to project sites, including government and military facilities, may be required, subject to passing a government background check. Job Type & Location

This is a Permanent position based out of Ellicott City, MD.

Pay and Benefits

The pay range for this position is $55000.00 - $90000.00/yr.
