Urban League of Union County, Inc. Intake Coordinator in Elizabeth, New Jersey

Position SummaryThe Intake Coordinator plays a key role in ensuring the smooth coordination of program operations across the Urban League of Union County’s service areas. This position supports both program implementation and intake center operations and serves as a bridge between direct services, administrative functions, and community engagement.The Intake Coordinator will oversee the daily functions of the Intake Center, ensuring professional and efficient client interactions, while also assisting with program tracking, events, and reporting. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, mission-driven environment.Key ResponsibilitiesIntake Center Oversight & Client Engagement Supervise daily Intake Center operations in alignment with the Intake Center Policy. Ensure that all visitors, clients, and callers are greeted promptly and professionally. Train and support intake staff and volunteers on confidentiality, trauma-informed service, and data logging protocols. Conduct and oversee client pre-screenings, referrals, and intake documentation. Maintain a clean, organized, and professional intake environment that promotes dignity and respect. Monitor attendance and adherence to schedules; ensure compliance with call-out and time-off procedures. Participate in ongoing training in de-escalation, cultural responsiveness, and customer service. Additional duties as assignedProgram Coordination & Support Support the implementation of housing, reentry, workforce, and youth programs in partnership with program managers. Assist in coordinating program activities, workshops, and events, including logistics, materials, and participant communication. Maintain accurate participant records, attendance, and intake data in shared systems. Compile and summarize data for monthly and quarterly reports to funders and partners. Ensure that all program spaces are properly equipped, organized, and client-ready. Assist with participant follow-up and case tracking as assigned.Administrative & Operational Support Support scheduling, meeting coordination, and communication between departments. Manage documentation, filing systems, and data entry related to program outcomes. Assist with inventory management, supplies, and intake center materials. Draft correspondence, flyers, and outreach materials in coordination with the Communications team. Support technology and database use, including Microsoft Office, Google Workspace, and case management platforms. Additional duties as assignedCommunication & Community Relations Serve as a positive representative of the Urban League during client and community interactions. Support community outreach, tabling events, and partnerships that promote ULUC programs and services. Maintain confidentiality and professionalism at all times, upholding Urban League standards and values. Report any client or safety concerns promptly to the Director of Programs and Operations. Additional duties as assignedCompliance & Quality Assurance Ensure that all intake and program activities align with organizational policies, funder requirements, and applicable laws. Participate in internal audits and contribute to continuous improvement of service delivery. Support training and orientation for new intake and program staff. Follow all safety, confidentiality, and conflict-of-interest policies as outlined in the Employee Handbook and Intake Center Policy. Additional duties as assigned
