Position Summary:
The Vision Center’s Operations Coordinator is responsible for monitoring and coordinating the daily operations of the department under the supervision of the Administrative Director. The coordinator will work with providers and other staff to ensure the department provides excellent patient care.
Essential Duties and Responsibilities:
• Managing patient flow
• Reviews daily schedules for missing scans, post-op notes or inappropriate appointment bookings. Prints BMC post-op or ophthalmology notes; order notes from Medical Records when scans are not available in EPIC.
• Manages the department’s outgoing and incoming referrals as instructed by providers, this includes scheduling appointments, submitting supporting documents, and patient outreach. Monitors the department’s referral report, submits referrals to the Referral Management Department for authorization. Participates in the tracking of high-risk patients. Manage providers’ schedule templates, which includes opening/closing, and editing individual provider schedules.
• Assists providers with managing the inventory and dispensing of contact lenses (i.e. order supplies, restock, schedule pick-ups, help with billing issues)
• Promotes a positive atmosphere that enhances efficient workflow through good teamwork
• Knows and understands the philosophy, objectives, policies and procedures of the department and consistently demonstrates these practices
• Expected to know all aspects of the Patient Access Representative job description
• Performs a wide range of clerical and administrative duties to support the department’s daily operations. Tasks include but are not limited to copying, filing, faxing, correspondence and maintaining and reproducing the orientation manual for NECO students.
Qualifications and Requirements:
• High School Diploma required
• Prior work experience in health care preferred with several years of telephone, appointment scheduling and customer service work
• Bilingual Spanish skills required
Pay: Starting at $22/hr up to 33/hr based upon experience
