Position Summary:

The Administrative Assistant supports the daily operations of the Employee Health and Infection Control departments at NeighborHealth.

This role is responsible for administrative coordination, scheduling, communication, and maintaining employee health compliance tracking systems. The position plays a key role in ensuring staff meet required health and safety requirements while supporting smooth day-to-day department operations.

Administrative & Office Support

  • Answer and triage department phone calls

  • Schedule employee health appointments and maintain calendars

  • Coordinate meetings, prepare agendas, and take meeting minutes

  • Draft and send routine communications to staff and managers

  • Order and maintain office and program supplies

Employee Health Compliance Support

  • Maintain tracking systems for employee health requirements (e.g., immunizations, TB screening, N95 fit testing)

  • Send reminders and non-compliance notifications to staff

  • Follow up with employees and departments to obtain required documentation

  • Escalate outstanding compliance issues to leadership

Data Entry & Reporting Support

  • Enter and maintain accurate data in spreadsheets and internal systems

  • Run standard reports and assist with report preparation

  • Support data reconciliation across systems as needed

Program & Department Support

  • Assist with coordination of programs such as flu vaccination and fit testing

  • Support logistics, scheduling, and tracking of participation

  • Prepare materials for meetings, audits, and regulatory activities

    Qualifications

  • High school diploma required; Associate’s or Bachelor’s degree preferred

  • 2–3 years of administrative experience, preferably in healthcare

  • Strong organizational, communication, and multitasking skills

  • Proficiency in Microsoft Office (Excel, Word, Outlook) required

  • Ability to handle confidential information with discretion

Pay: starts at $24/hr up to $36/hr based on relevant years of experience.
