Jostens Scheduling Coordinator in Eagan, Minnesota

Job Title: Scheduling Coordinator Job Type: FT/Salaried, Non-exempt

This position is in-office for candidates located in the metro area; remote consideration is limited to candidates residing outside the area.

You must have reasonable flexibility to support seasonal schedule adjustments and possible overtime.

Setting the Schedule for Picture Day Success!

Scheduling Coordinators play a key role in supporting JostensPIX Picture Day events by ensuring schedules and agreements are accurate, organized, and ready for execution. Working closely with our Operations and Sales teams, you’ll manage data entry, validate scheduling information, and coordinate across systems to help ensure every Picture Day is set up for success. We’re looking for detail-oriented team members who enjoy working behind the scenes to keep processes running smoothly and efficiently. YOU WILL:

  • Assist. Build, maintain and update schedules in an every changing calendar

  • Engage. Provide first point of contact assistance for internal team inquiries

  • Serve. Act as liaison between internal partners to coordinate timely resolutions ​

  • Audit. Monitor calendar capacity and schedule activity to identify scheduling risks

  • Support. Validate daily agreement and scheduling activities ensuring accuracy of data

    YOU HAVE:

  • Education. High school diploma or equivalent

  • Experience. Knowledge of scheduling systems, calendar based tools and/or event management software

  • Proficiency. Working level experience with the Microsoft Office suite and proficient in Excel

  • Drive. Ability to work in a detail oriented environment following defined processes, identifying discrepancies and meeting deadlines

  • Confidence. Excellent verbal and written communication skills

Preferred:

  • 2+ years of experience in event scheduling, coordination, logistics or related role

  • Exposure to and understanding of the industry and competition

  • Advanced knowledge of the Microsoft Office Suite with ability to adapt quickly to internal systems

  • Experience with data entry, conversion or transcription with high level of accuracy

  • Background in project and/or operational initiatives support
