DIGITAL FULFILLMENT COORDINATOR

FULL-TIME | ONSITE AT JOSTENS' EAGAN OFFICE

ABOUT YOU:

As a Digital Fulfillment Coordinator within our JostensPIX team, you'll play a key role behind the scenes of school picture day, ensuring operational efficiency. In this fast-paced, detail-driven role, you'll manage picture day data, coordinate materials, and keep customers informed. Your work will directly impact schools and families by creating a seamless experience that provides lasting memories. Incumbents of this role are required to be on call and/or available after hours, to provide their own mobile device, and to distribute their mobile phone number accordingly. Alternatively, individuals may distribute their office phone number if their office phone is set to forward calls to their personal device when they are not physically present.

YOU WILL:

  • Update & Maintain. Manage and execute the photo processing flow to ensure service level agreements are met. This includes, but is not limited to, Image Uploads, ID Cards (Standard IDs, Temporary IDs, Previous Year Image IDs), Release to eCommerce, Composites, Yearbook Files, and School Services Fulfillment (Cumulative Files Stickers, Print Directories).

  • Develop. Assist in the training and daily activities of 3-5 seasonal employees with the production process. Load photos from hard drives in a timely manner. Track and create archives of field data. Ensure that after photos have gone through quality assurance. Manage errors and flags to solve any outstanding issues. Prepare hard drives for redistribution. Investigate subject search inquiries. Perform photo retouching and editing when necessary.

  • Advise. Create efficiency improvements and documentation of procedures. Learn and implement several technology platforms.

  • Strengthen. Work closely with the Senior Operations Manager to fulfill daily business operational needs. Serve as the liaison with the School Operations Team and manage inquiries for all Digital Fulfillment and IT-related concerns. Have daily oversight within the Admin Dashboard and provide status updates to the Senior Manager, Operations – Digital Fulfillment. Collaborate with the Field and Equipment Team to resolve data issues.

  • Service. Act as the primary point of contact for escalated Customer Care inquiries. Provide excellent customer service to schools, sales representatives, internal partners, and vendors primarily through phone calls and email communications.

  • Support. Develop and prepare custom reports throughout the season based on business needs and requests. Manage and maintain IT production requests when received. Assist in the gathering and documentation of IT requirements from the business.

  • Aid. Assist the Operations Leadership Team with any operational and support activities as needed. Assist with projects in our warehouse related to our photography equipment through effective preparation, quality assurance, storage, and shipping.

  • Typical/expected % of overnight travel. 0-5%.

    YOU HAVE:

  • Experience. 2-4+ years related work experience in a similar role(s). Preferred experience and interest in photography. Preferred previous experience as a Business Analyst or Data Analyst.

  • Education. High school diploma or equivalent.

  • Drive. Ability to work both independently and in a collaborative environment. Flexible disposition and ability to work in a fast-paced environment, managing a variety of operational needs.

  • Desk Work. Comfortably sitting in front of a computer 90% of the time.

  • Organization. Independent judgment is required to plan, prioritize, and organize competing tasks or demands that may be deadline-driven.

  • Technical Skills. Working-level proficiency with the Microsoft Office suite (advanced knowledge preferred). Adept with technology and learning new software applications (background or keen understanding of technology preferred). Preferred proficiency with Adobe Creative Cloud (Photoshop, Lightroom).

  • Attention to Detail. Extremely strong attention to detail and organization in a defined process.

  • Great Communication Skills. Customer-facing customer service experience.
