Mississippi Action for Progress (MAP) - Headstart CENTER CLERK in Durant, Mississippi

 Position Purpose:  This position oversees the center's main office reception area and functions. 

Essential Job Responsibilities: Performance Indicators

Answer Telephone Switchboard 

• Answer multi-line telephone systems promptly, courteously, and professionally. 

• Accurately receive and disseminate messages. 

 

Incoming and Outgoing Mail 

• Route incoming and outgoing mail. 

• Maintain postage machine. 

• Route inter-office mail. 

• Send and receive faxes. 

 

Greet and Assist Visitors 

• Greet, assist, and courteously direct all visitors. 

• Post and update information on bulletin boards. 

• Keep the area clean and clear of obstructions that might impede traffic flow and safety considerations. 

 

Administrative Support 

• Schedule client intake appointments. 

• Update and input data in the Child-Plus system.

• Log in and mail client and employment applications after the supervisor's review.

• Computerized data entry using a variety of computer applications. 

• Tracking attendance and "In Kind" contributions. 

• Maintain attendance and T & A records.

• Other duties as assigned.

Requirements:

Knowledge/Skills/Experience/Documentation Required

• Associate Degree and one year's experience in general office practices, emphasizing reception and switchboard. 

• Strong computer skills using PCs and various software applications, word processing, databases & e-mail. 

• Ability to work in a fast-paced, multi-task environment. 

• Ability to operate various office equipment, including copiers, fax machines, postage meters, voice mail, etc. 

• Strong organizational skills and ability to prioritize workload. 

 

 

 Physical/Mental Abilities and Processes

• Maintain a professional & courteous attitude under stress of work demands. 

• Ability to handle multiple tasks simultaneously. 

• Regular sitting, stooping and bending daily. 

• Ability to use the phone system and verbally relay messages. 

• Occasional lifting up to 35 lbs. 

• Ability to visually monitor the immediate work environment.  Report concerning supervisor.

• Ability to travel, some overnight with short notice.
