Essential functions (job duties):
The Medical Facilities Coordinator oversees and coordinates space utilization and support services for all School of Medicine (SOM) buildings to ensure buildings are properly maintained and all spaces are functional and usable for all faculty, students, staff, and visitors. This position reports to the Manager, Facilities within the School of Medicine.
Act as liaison for building occupants and f acilities, planning, and m aintenance (FP&M) on all building maintenance issues. Initiate work order requests, track and follow up on all requests with FP&M representatives.
Oversee and monitor preventative maintenance of departmental equipment . Initiate requests for maintenance services . A rrange for cleaning and maintenance of facility and supplies . C onsult with others on the proper repair of equipment . Perform and maintain inventory of unit equipment and supplies.
Walk common areas of all School of Medicine buildings to check for non-reported issues , initiate report , and follow up any new issues as needed. This is to include leaks, burnt out light bulbs , general building cleanliness.
Assist manager with any special projects assigned by Dean's office. This may include special moves, cleaning out abandoned lab or office space , surveys of room usage.
Work with f aculty, staff, and students regarding conference room requests, including input of requests in EMS system, approving room requests in EMS system. Rearranging scheduled rooms as needed. Answer all customer questions regarding room use policies and procedures. Participate in large event logistics planning when requested .
Consult with departments and lab staff regarding purchase of new equipment to make sure equipment needs are available or if addition of electrical, plumbing or drain hookups are needed. Advise on how to create project requests or obtain estimates for having work done before new equipment arrives.
Consult and advise departments when asked regarding moves of labs or offices. Work with vendors to ensure all moves are done in an efficient manner with minimal down time.
Fill in at information desk and guard's desk as needed. Answer incoming telephone calls, answer questions from building visitors, sign out room keys as needed .
Performs other related duties as assigned.
Unique duties:
Qualifications:
Education: Associate's degree
Associate's degree from an accredited college or university or equivalent combination of education and relevant experience.
Experience: Experienced (minimum 2 years of job-related experience)
Minimum 2 years of experience in board spectrum of customer service .
Previous experience with facilities upkeep preferred.
Reasonable experience in facility management and general office procedures.
Some supervisory experience required .
Experience read ing and understanding floor plans .
Must have a valid Michigan license .
Knowledge, Skills, and Abilities:
Ability to communicate effectively with others .
Strong attention to detail .
Able to work independently with minimal supervision .
Knowledge of lab equipment preferred but not required .
Knowledge and experience with Microsoft Word, Excel, Outlook, Power Point .
Ability to operate a vehicle safely.
Ability to lift 50 lbs.
