  • Operate various communication systems such as telephones, computers, and management systems, and keeping records of such communications. Design and implement clerical processing procedures.

  • Answer questions from and provide information to various parties regarding agency activities, transactions, and procedures. Refer inquiries as necessary.

  • Operation of the campus parking office to include; Decimation of all parking decals to both students and staff, order and sell decals, record payments and information of both in-person and online registrations, send parking fee/fine receipts and cash to the proper accounting office per campus policy, gather and compile data related to parking decals and tickets, assist with and update the changes made in parking rules and regulations in various forms and locations and disseminating this information to the campus community, work with the vendor to resolve problems with the parking ticket system and equipment.

  • Responsible for the registration of E-bikes/scooters and ensuring their compliance with campus regulations at the time of registration.

  • Dissemination and collection of campus keys issued to employees, and working with facilities and lock shop to record lock core changes in all academic and administrative buildings and resolving issues associated with the issuance of campus keys.

Manage the Lost and Found to include ensuring all found property is appropriately held in accordance with NYS Property Law retention schedule.

  • Attend monthly supervisor meetings, taking notes and then disseminating that information for follow-up.

  • Supervise work study students/department interns that are assigned to assist with clerical duties. Assist with hiring process, training, scheduling and approval of timesheets

  • Entering, proofreading, reviewing, and correcting correspondence, documents, records, and other written material. Making appropriate corrections for formatting, accuracy, and validity.

  • Maintain the Approved Driver List and communicating with the appropriate offices; to include the operation of the LENS system, adding or removing drivers based on driver's license validity.

  • Perform various clerical or office assistance tasks such as scanning, copying, and faxing documents.

  • Perform basic financial, accounting, and/or statistical records.

  • Assist in gathering and/or compiling data for reports, graphs, charts, tables, or other products.

  • Coordinate arrangements for meetings, courses, and other gatherings, arrange for rooms, take attendance, and ensure that appropriate materials and equipment is available.

  • Conduct background check requests from external law enforcement agencies.

  • Ensure department compliance with all court issued seal orders.

    Job Requirements:

  • High school diploma or high school equivalency diploma; and two years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

  • The successful candidate must be reachable for appointment on a present, permanent Civil Service eligible list for Administrative Assistant I; or NY HELPS; or

  • Previously held the Administrative Assistant (Secretary I) Title; or

  • Be eligible for transfer to the Administrative Assistant I title, or Administrative Assistant Traineeship title.

  • Neg unit - CSEA 02 (ASU)

  • Grade: SG-11

  • Starting Salary: $47,695 (AA1) or TBD if eligible for traineeship based on Civil Service guidelines.

  • Location: SUNY Delhi
